What are the responsibilities and job description for the Program Assistant position at Easterseals PORT?
The IPS Program Assistant is a vital member of the IPS team at Easterseals PORT Health, working with adults who have mental health and/or substance use challenges. The primary role of the IPS Program Assistant is to support the IPS team in providing employment services, adhering to the service definition and IPS Fidelity Model. The IPS Program Assistant reports directly to the Employment Services Program Supervisor.
Full-Time Schedule:
- Monday-Friday; flexible scheduling
Work Environment:
- Multiple work environments, including employment sites, homes of individuals supported, and community settings.
What You’ll Do:
- Managing non-clinical operations of IPS, such as medical records and databases.
- Providing receptionist duties, triaging calls, and facilitating team communications.
- Assisting in the development of Person-Centered and Crisis Plans, and submitting required documentation (e.g., NCTOPPS).
- Ensuring service continuity by coordinating documentation and communication with providers, MCOs, and other stakeholders.
- Maintaining strong attendance, punctuality, appearance, and relationships with colleagues and individuals.
- Preparing and submitting documentation accurately and timely.
- Completing monthly Medicaid checks via NCTRACKS.
- Participating in peer and Fidelity Reviews.
- Attending weekly meetings, taking minutes, and maintaining records.
- Assisting with employee training.
- Completing the required IPS training.
- Performing other tasks as assigned by a supervisor.

What We’re Looking For
- A four-year degree in a human service field (e.g., education, social work, psychology, counseling, therapy) from an accredited institution.
- At least two years of experience working with the target population after earning the degree; must be eligible to become a Qualified Professional.
- Preferred knowledge of community services, writing Person-Centered Plans (PCPs), counseling, advocacy, and supported employment.
- Must have a valid state driver’s license, a good driving record, and current vehicle insurance.
- Reliable transportation for travel within the service area is required.
