Purchasing Agent
Full-time
12 Month Position
Education Center
Summary: Handles the daily functions that pertain to all purchases within the district. This includes, but is not limited to, Purchase Orders, credit cards, RFP’s, Bids, warehouse, subscription & contract tracing. Compensation based on experience and qualifications.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Handles all Request for Proposals, bids and Quotes.
2. Responsible for vendor management and providing all vendor information.
3. Insurance – Maintain records for District’s property, liability and automobile policies. Receive and process accident and claim reports. Works closely with insurance broker.
4. Handles all Capital project spreadsheets.
5. Responsible for creation of Purchase orders.
6. Handles all credit card charges and all payments.
7. Process Purchase orders in Skyward.
8. Handles all requests for tax exemption, W-9 and Credit applications.
9. Approves all Requisitions in Skyward - checks all budget codes.
10. Uploads all contracts into Skyward and prepares all Purchase orders after each board meeting.
11. Assists in negotiating contracts for all insurance, including liability, cyber, health, dental, stop loss, workers comp, eye, prescription.
12. Assist the grant coordinator with the review, reconciliation, and monitoring of all grant accounts.
13. Creates report for financial analyst to distribute charges by building/department for warehouse supplies and paper.
14. Act 80 Set up
15. Assist the Payroll Officer with timesheets and other necessary tasks.
16. Backup Payroll Officer
17. Any and all other projects and items requested by the CFO.
18. Maintains inventory for capital all assets in the district.
QUALIFICATIONS:
1. Graduation from high school and 2-3 years of progressively responsible related experience, or any equivalent combination of training and experience that provides the required knowledge, skills and abilities.
2. Experience in bookkeeping practices preferred.
3. Strong technical skills required. Must be able to operate a database management structure. 4. Extremely proficient in Microsoft Word, Excel, Email and other software applications.
5. Excellent organizational skills.
