ADMINISTRATIVE ASSISTANT FOR HIGH SCHOOL ATTENDANCE AND CTE OFFICE
Description:
The Attendance and CTE Administrative Assistant plays a vital role in supporting school
operations by performing a wide range of office functions and CTE-specific responsibilities.
General duties include answering phones, assisting parents and visitors, managing mail, filing,
maintaining student ID systems, entering attendance and suspension data, generating reports,
and supporting truancy monitoring. Additional responsibilities involve assisting with student
registration, maintaining immunization records, and setting up attendance-related robocalls.
CTE-specific responsibilities include coordinating meetings, and compiling data for reports.

Essential Duties and Responsibilities:
? Standard office functions - *Standard office functions include answering telephones,
taking messages, customer service to parents and others who come into the school, use
of copy machines and computer workstations, distributing mail, filing/recordkeeping,
and the like.
? Enter attendance calls into system
? Enter suspension/attendance into system
? Truancy monitoring and support
? Responsible for student ID badges and lanyards
? Weekly attendance reports/truancy reporting
? Immunization reports
? Assist with student registration process
? Responsible for postage machine and reports
? Backup to other building secretaries
? Set up “robocalls” for attendance
? Serves as the main contact for student check-ins and check-outs with parent phone calls
? Performs other related duties, including special projects, as requested by the supervisor
CTE Specific Duties and Responsibilities
? Attend meetings as assigned (e.g. CTE staff meetings and MISD) for the purpose of
conveying and/or gathering information required to perform functions.
? Compile data for local, state, and federal reports (i.e. CTTES annual report; 4483A,
4483D and 4403 reports; follow up surveys and 4301 year-end report) for the purpose of
ensuring that allocations are accurate, related revenues are generated, expenses are
within budget limits and/or fiscal practices are followed.
? Coordinate a variety of programs and activities (e.g. meetings, site in-service day
activities, workshops, computer testing, conferences, field trips) for the purpose of
delivering services in conformance to established guidelines.
? Work with Instructors and make sure information is entered properly into CTEIS.
Additionally, this person will enter this data for local CTE teachers.
? Maintain school level CTE accounts and the accounts of the Perkins V and 61a1 Added
Costs funds for the purpose of ensuring that services comply with District, State and
Federal requirements.
? Maintain inventories of supplies and materials for the purpose of providing item
availability
Job Requirements:
? High School Diploma or GED
? Relevant prior work experience
? Moderate proficiency-MS Word
? Moderate proficiency-MS Excel
? Excellent Customer Service Skills
? Effective oral and written communication skills
? Knowledge of PowerSchool
? Organizational skills
? Ability to work independently
? Ability to prioritize tasks
? Ability to collaborate and work as a team when necessary

Wage: Per EDESA agreement, Level one
