We are currently seeking an HR Operations Specialist to support a multinational electronic component company operating on a B2B platform, specializing in components, modules, and substrates.
Key Responsibilities
HR Operations
- Deliver prompt, accurate, and responsive HR services to employees and stakeholders.
- Ensure data integrity in HR systems by running queries, analyzing data, and reviewing source documents for accuracy and completeness.
- Address and resolve escalated cases, coordinating with other stakeholders as needed.
- Respond to inquiries and concerns promptly, equitably, and professionally.
- Maintain and update compliance program policies and procedures.
- Conduct research, data analysis, and generate reports to support HR operations.
- Perform regular audits (daily, weekly, monthly) of HR transactions.
- Manage workload effectively to meet service level agreements (SLAs).
- Handle HR operational tasks, including Workday data entry, transaction processing, and complex organizational changes.
- Support multiple ad hoc HR requests and projects concurrently.
- Ensure timely resolution of escalated issues with clear communication of outcomes.
- Provide reporting support for compliance and ad hoc requests, and assist in developing standard reports and dashboards.
- Write detailed and accurate process documentation.
- Offer complex administrative and project support using advanced MS Office skills.
Immigration Responsibilities
- Partner with external immigration counsel to assist employees and candidates with work visas.
- Process and organize incoming and outgoing packages, ensuring accurate tracking and shipping.
- Prepare, copy, scan, and maintain records for document retention.
- Update candidate records and reports in HR systems.
- Process general invitation letters for business travelers.
- Manage and distribute mail and correspondence related to immigration.
- Track and request payments for visa processing.
- Maintain updated records and upload critical documents in databases and reports.
- Coordinate regulatory postings for permanent alien labor certification cases.
HR Systems
- Support HR system development and implementation through configuration, testing, and training initiatives.
Requirements
- Proven experience in HR administration with a solid generalist background.
- 1-2 years of experience with Workday, including business process management.
- Strong attention to detail and a problem-solving mindset.
- Advanced quantitative and analytical skills.
- Excellent organizational and time-management abilities.
- Comfortable handling confidential and sensitive information.
- Flexible and detail-oriented in fast-paced environments with competing priorities.
- Strong problem-solving, communication, and employee service skills.
- Preferred knowledge of U.S. immigration laws and visa categories, with experience processing visas through USCIS.
