Position Overview:
We are looking for a versatile and detail-oriented HR Administrator & Executive Assistant to provide comprehensive administrative support to both the HR department and the executive team. This individual will play a key role in ensuring smooth HR operations while also supporting the executive leadership with daily administrative tasks. The ideal candidate will have a strong background in administrative functions, a passion for organizational efficiency, and the ability to multitask in a fast-paced, dynamic environment.
Key Responsibilities:
HR Administration:
Employee Records & Onboarding:
- Maintain accurate and up-to-date employee records, including personal details, employment history, and training documentation.
- Assist in the onboarding process for new hires, ensuring they are provided with necessary documentation and a seamless integration into the company.
- Coordinate employee benefits enrollment and assist with any HR-related inquiries.
HR Policies & Compliance:
- Assist with the implementation and communication of company policies and procedures to ensure compliance with labor laws and company standards.
- Support the HR team with employee relations, performance management, and compliance with internal and external regulations.
Recruitment Support:
- Assist with the recruitment process, including job posting, scheduling interviews, and managing candidate communication.
- Maintain an organized recruitment database and assist in the preparation of new hire contracts and offer letters.
Training & Development:
- Coordinate training sessions and employee development programs, ensuring employees have the necessary resources to grow within the company.
- Maintain training records and assist with scheduling and logistics for internal and external training events.
Executive Assistance:
Calendar & Meeting Management:
- Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare materials for meetings and ensure executives have the necessary information in advance.
Communication & Correspondence:
- Serve as a point of contact for internal and external stakeholders, managing communication on behalf of executives.
- Draft and edit correspondence, reports, and presentations for leadership.
Project Management Support:
- Assist in coordinating special projects and initiatives across departments, providing administrative support to ensure timely execution and completion.
- Track and manage project timelines, ensuring deadlines are met.
Office Management & Supplies:
- Ensure the smooth operation of the office by managing office supplies, equipment, and facilities.
- Handle office maintenance requests and liaise with vendors as needed.
General Administrative Support:
Event Coordination:
- Support the planning and execution of company events, meetings, and team-building activities.
- Assist with coordinating logistics, catering, and other event needs for internal and external events.
Documentation & Reporting:
- Assist with creating and maintaining company reports, documentation, and internal communications.
- Support the HR and executive teams in the preparation of presentations, reports, and other business-critical documents.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or a related field (preferred).
- 2-4 years of experience in administrative support, HR, or a related field, preferably in the healthcare or wellness industry.
- Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HRIS systems.
- Excellent written and verbal communication skills, with a keen attention to detail.
- Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
- Strong interpersonal skills and the ability to interact effectively with all levels of the organization.
- Problem-solving ability and a proactive, solutions-oriented approach to work.
- Experience with recruitment, employee onboarding, and benefits administration is a plus.
