What are the responsibilities and job description for the Full Time Specialty Clinic Scheduler-Eaton Rapids position at Eaton Rapids Medical Center?
Answers telephone calls and assess urgency of call. Provides assistance or directs caller to appropriate person, contacting physician/nurse directly for urgent needs. Provides assistance to other receptionists in screening patient calls. Assists patients with the completion of forms. Schedules patient appointments and resolves scheduling conflicts. Notifies patients of changes/cancellations and prioritizes urgency of appointments for rescheduling. Receives patients and visitors. Secures names and needs and directs accordingly. Updates patient information and verifies insurance information. When appropriate accepts co-pays for clinic physicians. Books diagnostic tests and specialized appointments for patients at hospitals and other medical facilities and ensures patients are provided with necessary paperwork and specialized instructions for procedures. Maintains filing systems and inventory of office supplies. Performs additional functions incidental to office activities. Conducts patient reminder calls. Accepts and schedules referrals from multiple systems including GLHC, fax, internal hospital and phone. Reviews previous referrals ("Buckets") daily contacting the patients as needed. Maintains knowledge of all computer systems as required for the position. Performs other office tasks as assigned. Acts as liaison between physician, patients and staff. Performs all aspects of appointments and physicians daily schedules.
- Demonstrates competency in computer applications as required for the position such as Word, with a working knowledge of pertinent Meditech and contracted physician office's electronic medical record applications especially scheduling and registration.
- Refers patients to physician or nurse if unable to satisfy patient needs/answer questions.
- Uses e-mail and telephone to communicate with staff, clinic schedule changes and to keep co-workers and Manager appraised of problems/concerns in the Specialty Clinics.
- Working knowledge of release of information forms, insurance changes, and following required hospital protocols when registering patients.
- Scheduled endoscopy procedures according to hospital guidelines, maintaining ongoing/open communication with endoscopy nurses.
- Maintains awareness of hospital systems and procedures, location of departments, treatment areas and other patient services.
- Works efficiently and effectively to ensure that patients are taken care of in a timely manner with demonstrated ability to work independently in a fast paced environment with constant interruptions.
- Proper telephone etiquette demonstrated with transfer of calls to appropriate area/personnel. Receives and delivers accurate messages when necessary.
BLS required within 90 days of hire and maintained throughout employment. High school graduate. Previous experience in a medical setting. Minimum of one (1) year experience with patient contact.
