What are the responsibilities and job description for the Church Office Manager position at Ebenezer Baptist Church?
This is a part-time hourly position. The ideal candidate should be a believer in Jesus Christ, have administrative experience, be proficient in computer programs such as Adobe, MS Word, Excel, and Outlook, and possess basic accounting knowledge. The role requires 6 hours per day, 24 hours per week, from Monday through Thursday. This position is expected to be in the office for 6 hours daily between 8 AM and 5 PM. Holiday pay and one week of vacation per year after 6 months of service are provided. Pay will be based on experience.
ADMINISTRATIVE DUTIES
- The church secretary serves as the primary point of contact for church business.
- Answer phone calls and respond to emails, forwarding relevant information from calls or emails to pastors or committee chairpersons as needed.
- Distribute mail and packages to the appropriate recipients.
- Order supplies and other necessary materials.
- Work directly with the pastoral staff and other church organizations or committees to arrange appointments and reservations.
- Maintain the church calendar.
- Keep member files and contact information up to date.
- Maintain Sunday school attendance records.
- Send reminders to nursery workers, security team members, ushers, and others.
- Prepare worship bulletins.
- Prepare and distribute a monthly newsletter.
- Order, sort, and distribute Sunday School literature quarterly.
- Design and print special programs for handouts during church events.
- Complete any requests made by church committees as needed.
- Utilize Realm software for membership tracking, accounting, and payroll.
- Support requests from church committees.
- Perform any other church-related duties as needed.
ACCOUNTING
- Ebenezer employs Realm reporting software to track and prepare financial documents. General accounting knowledge is required; training on the Realm software will be provided.
- Post weekly church stewardship contributions.
- Open all mail and date-stamp it to process weekly accounts payable checks.
- Process payroll for all employees.
- Prepare monthly payroll tax deposits and pay online via the IRS website. Process a journal entry to post to the general ledger and handle credit card charges for the general ledger.
- Prepare monthly, quarterly, and yearly financial statements.
- Prepare quarterly payroll reports (941).
- Prepare budget worksheets for the Budget Committee members.
- Prepare individual and church-related tax documents.
