Logistics Coordinator Job Description
Join ECCO Gulf Majorel Qatar as a Logistics Coordinator, where you will play a crucial role in managing and optimizing our logistics operations. Based in Qatar, this full-time, permanent position requires an experienced professional to ensure the smooth flow of goods and materials within our organization. You will be responsible for coordinating logistics activities, maintaining inventory levels, and ensuring timely delivery of products.
Prepare comprehensive tender documentation for the procurement of supplies, ensuring compliance with all regulatory and organizational standards.Coordinate with Contracts and Procurement team for the execution of procurement plans and submit all relevant documents like Cover Letter / Memo / Scope of Work / Compliance Sheet / Clarifications / Tender Evaluation Check lists etc.Work closely with other departments (Contracts& Procurement, operations, and finance) to align logistics strategies with overall business objectives.Follow-up with Contracts and Procurement department for issuance of POs / Contracts.Reviewing purchase orders and shipping documents to ensure accuracy.Distribute stocks to health centres based on their logistical requirements, ensuring that necessary supplies are delivered promptly and aligned with health centre needs.Monitor stock items, analyse usage trends, and place timely orders to maintain optimal inventory levels, preventing shortages or excess stock.Conduct site visits to health centres to verify and assess furniture requests, ensuring requirements align with facility needs and organizational protocolsbefore approval.
Prepare detailed inspection reports for furniture requests, documenting findings and recommendations to facilitate informed decision-making regarding approvals.Manage and arranging transportation, storage and delivery with suppliers.Monitor and coordinate the logistics of deliveries between suppliers to ensure adherence to agreed timelines and destinations.Supplier Delivery Follow up for post contracts / LPO : - tracking the delivery time and status.Facilitate the processing of Payment Orders through the ERP System, ensuring accuracy and compliance with financial protocols.Primary interface with the vendor and Finance Team for all invoicesubmission and related follow up.
Review Supplier Invoice and Cross-checking Delivery note / timesheet and preparing Payment order through ERP System.Resolve any issues or discrepancies in logistics operations promptly.Prepare work Confirmation report for projects based on Contracts terms and get necessary approval from management and forward to Contract Department.Provide timely and accurate information to line managers regarding contract status, including any potential issues or discrepancies.Assist in the preparation of financial documents, including certificates of approval and work completion based on contract agreements.Raise Internal requisition in Oracle ERP System for Consumables reequipment.Raise Purchase Requisition in Oracle ERP System against Call off agreement according to the current inventory.Maintain accurate documentation related to inventory, orders, and supplier contracts.Monitor logistics budgets and expenditures, ensuring that operations remain within budgetary constraints.Coordinate with stakeholders for the annual stock count in stores and the central warehouse.Assist in training new staff on logistics processes and ERP systems as necessary to ensure a knowledgeable and capable team.Required Profile
We are seeking an experienced professional with a strong background in logistics and supply chain management. The ideal candidate will possess excellent organizational and communication skills, along with the ability to work effectively in a fast-paced environment.
Minimum 8 years of Logistics experience, of which 6 years of similar experience in Logistics Management including inventory, purchase, sourcing,and contract management is required within the government sector in healthcare entities in Qatar.
Proven experience in logistics coordination or a similar role.Strong understanding of logistics and supply chain management principles.Bachelor’s degree in business administration, logistics, finance, or any equivalent professional discipline.Strong communication and interpersonal skills.Proficiency in logistics software and Microsoft Office Suite.Ability to analyze data and make informed decisions.Inventory / Logistics Management.Knowledge of Supply Chain Management Skills.Procurement & Project Management skills.Trouble Shooting, Analytical & Problem-Solving skills.Microsoft Presentation and Excel skills.Experience in Oracle Inventory and Sourcing module.Hands-on experience on WMS system.Time management and Leadership Skills.Mandatory English reading and communication skill.Ability to work independently and as part of a team.Valid Qatar Driving License.Offer
