What are the responsibilities and job description for the Office Manager position at Echo Design & Integration (EDI)?
POSITION OVERVIEW:
Reports directly to the company President and indirectly to the Director of Fabrication. The Office Manager is responsible for coordinating office operations and procedures, maintaining office and employee records, as well as performing general accounting and payroll-related duties.
Administrative Responsibilities include:
· Work directly with the Director of Fabrication in Spokane facility to ensure facility operates smoothly
· Act as primary liaison between Spokane manufacturing facility and satellite offices in Chelan and Seattle
· Organize office operations and procedures in Spokane and ensures they are aligned with satellite offices
· Receive and forward incoming phone, mail, email correspondence, and greet onsite customers
· Assist HR Manager with maintaining and coordinating employee personnel records, benefit plans, and recruiting, disability management and follow up, as assigned
· Create and administer all employee training plans in accordance with requirements
· Complete other administrative duties as assigned or required
Accounting & Payroll Responsibilities include:
· Act as the primary admin expert with “Job Boss” software program
· Perform Data entry of payroll in “Job Boss” for job costing and timecard management to ensure time is loaded into Payroll system
· Accounts Payable: Ensure all accounts payable invoices are processed promptly and entered in Job Boss and in QuickBooks as needed
· Accounts Receivable: Customer Invoice preparation and accounts receivable management and collection via Job Boss and QuickBooks as needed for all jobs initiated in the Spokane Facility
Safety Responsibilities include:
· Complete Basic Safety, Safety Program Development, Accident Investigation and First Aid Courses
· Conduct monthly safety meetings
· Conduct employee, visitor and contractor safety orientations
· Responsible for keeping own work area clean
· Abide by Health and Safety Policies and Procedures
· Ensured adherence to environmental regulations
· Assist with any company audits as needed
· Follow corporate core values, safety processes and management systems to lead by example
· Review and advise employees and supervisors on safety forms and hazard assessments
· Interpretation of OHSA Legislation
· Arrange first aid kit stock replacement; fire extinguisher testing and replacement, building inspections
· Conduct incident investigations as required
· Arrange internal and external training in collaboration with managers
· Maintain all Safety documentations
· Other duties as required
Skills & Competencies
· Skilled knowledge of “Job Boss” or similar systems is required
· Excellent verbal and listening communication
· Strong analytical and problem-solving skills, organizational skills, thorough and detail oriented
· Strong time management skills to ensure that all deliverables are met in an efficient manner
· Strong working knowledge of Microsoft Office Suite including Excel and Word
· Strong working knowledge of Onedrive, Teams, Planner, Sharepoint is preferred
Education & Experience
· High School Diploma Required
· 5 years’ experience working in an office environment with similar tasks
· Knowledge of “Job Boss” program, bookkeeping, accounts receivable, accounts payable, and payroll functions
