Job Title: Administrative Office Assistant
Reports To: Branch Manager
FLSA Status: Full Time, Non-Exempt
POSITION SUMMARY: This position is responsible for providing administrative support to the Branch office.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Include the following. Other duties may be assigned.
- Supports the Branch office with all administrative functions in a timely and efficient manner.
- Processes and records account receivables paperwork as assigned by Billing Manager.
- Records credit card transactions and completes credit card reconciliations
- Reconciles fuel accounts to ensure compliance and proper paperwork has been submitted.
- Assists with distribution of company newsletters.
- Processes all incoming and outgoing mail and routes it appropriately.
- Answers the telephone professionally and routes calls appropriately.
- Performs errands and other duties to support the site location.
- Communicate effectively with branch employees to ensure company goals at met.
- Maintains the office and site location from both an organization and cleanliness perspective.
- Maintains a dependable work attendance record with extremely infrequent absences and/or lateness.
- Performs other special projects and duties as assigned.

EDUCATION and/or EXPERIENCE:
1.High School Diploma or GED.
2.One to three years of administrative/office experience.
3.Strong administrative and follow-up skills.
COMPUTER/TECHNICAL SKILLS: Must possess moderate level skills in the use of personal computers, Microsoft Office Suite software, including Excel, Word, email, Quickbooks and any other enterprise specific programs.
EQUIPMENT USAGE: Must have the knowledge and experience necessary to operate office equipment such as desktop and/or laptop computers, copiers, scanners, fax and telephone.
LANGUAGE SKILLS: Must have ability to read and comprehend a moderate level instructions, create short basic correspondence and emails. Must possess ability to present information one-on-one to customers, management and other employees of the organization.
MATHEMATICAL SKILLS: Must be able to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, percentages and decimals.
REASONING ABILITY: Must have the ability to analyze and solve problems and independently consider and evaluate a variety of concrete variables in situations where only limited standardization exists. Must have ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
