Job Description: The Scheduling Coordinator is responsible for efficiently and effectively managing the scheduling of all service appointments, ensuring that resources are appropriately allocated and that customers receive prompt and professional service. This role requires strong organizational and communication skills and the ability to work independently and as part of a team.
Work Schedule:
- A typical work week is eight (8) hours, five (5) days weekly.
- Weekend or evening work may be required on a rotational on-call schedule or for coverage assistance.
- Shift days and times can vary after training, and the potential to work a second shift or a weekend day may be required.
- Lunch is 30 minutes minimum to an hour max.
- During peak times and seasonal extreme weather-related events, the position may require long hours.
Responsibilities
- Answer incoming calls and assist customers with scheduling service appointments.
- Accurately enter client information and convert incoming calls into booked opportunities.
- Communicate with clients via electronic formats, live chat, portals, and email.
- Assist with dispatch duties when the dispatcher is out of the office, including dispatching technicians and monitoring their progress.
- Assist in scheduling all preventative maintenance jobs.
- Review all scheduled reports for completeness (e.g., estimates sold but not scheduled, invoices emailed, on hold, etc.).
- Maintain a high level of customer service and satisfaction.
- Work effectively as part of a team to achieve shared goals.
Additional Duties
- Assist with the audit of commercial invoices.
- Monitor and work on the collection/outstanding payments report.
- Process recurring billing for all Service Agreements.
- Build commercial Service Agreements and assist in building residential memberships.
- Renew commercial Service Agreements.
- Open mail and complete the financial log of checks received.
- Strong verbal and written communication skills.
- Proficient typist and easily adapts to new software applications.
