Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant/Secretary to join our team. This role is essential in keeping our office running smoothly by providing administrative support, handling customer inquiries, and assisting with scheduling and documentation. The ideal candidate has strong communication skills, the ability to multitask, and experience in an office setting, preferably within the restoration or construction industry.
Key Responsibilities:
- Answer and direct phone calls, emails, and customer inquiries
- Schedule and coordinate appointments, jobs, and team dispatches
- Maintain organized records of projects, invoices, and client documentation
- Assist with data entry, job tracking, and report preparation
- Communicate with clients, insurance adjusters, and vendors as needed
- Handle office supplies, filing, and general administrative tasks
- Support management with special projects and day-to-day operations
- Ensure compliance with company procedures and industry regulations
Requirements:
- 1 years of administrative or office support experience (experience in restoration, construction, or a related field is a plus)
- Proficiency in Microsoft Office (Word, Excel, Outlook) and office management software
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
