OFFICE ADMINISTRATOR
At our Batavia, NY facility, our work is focused on building equipment specifically designed to protect the health of our troops while protecting the environment. As the office administrator you will play a vital role in managing administrative tasks with a focus on fulfilling the procurement activities for various departments. You will be responsible for providing administrative support, managing daily office operations, and facilitating communication between internal teams and external stakeholders. ESSENTIAL DUTIES & RESPONSIBILITIES:
- Utilize accounting/ERP system to accurately record financial transactions and maintain financial records including ledgers, journals and other relevant documents.
- Process invoices, compile and report expenses, reconcile credit cards and bank statements, and similar functions ensuring accuracy and identifying any discrepancies.
- Assist in developing and managing operational/purchasing budgets, and acquisition of goods and services.
- Maintain legal, tax, quality and/or other business records
- Assist with on-boarding, coordination of training and employee relations
- Implement employee policies, maintain HR records and monitor compliance
- Administer employee health benefit program
- Oversee and coordinate administrative Standard Operating Procedures and review, evaluate and implement new procedures as required.
- Collaborate and interact with various internal departments including accounting, engineering and production personnel, as well as suppliers, and professional service providers.
- Provide clerical support to the technical documentation team, production team, and other teammates, as required
- Manage office/facility related inventory and supplies, and support/back-up production related purchasing as required
- Coordinate meetings, training courses, social/community events, and book company travel
EDUCATION AND EXPERIENCE:
- Post-secondary education
- Minimum 3-years experience in office administration or related field, preferably within a manufacturing environment
- Minimum 2-years of bookkeeping experience using an ERP
- Expert proficiency in MS Office suite particularly Excel
KNOWLEDGE, SKILLS AND ABILITIES:
- Excellent communication and interpersonal skills
- Strong data entry and record-keeping skills, ensuring accurate and organized financial data
- organizational and time-management abilities
- Attention to detail and accuracy in work
- Ability to multitask and prioritize tasks effectively
- Experience with ERP systems and inventory control processes
- Good judgment and initiative are required to resolve problems and make recommendations
