Overview
We are seeking a highly organized and proactive Executive Administrative Assistant to support our team. This role is essential in ensuring smooth operations within the company and requires a detail-oriented individual who can manage multiple tasks efficiently. The ideal candidate will possess strong communication skills and be adept at using various office management tools.
Responsibilities
- Manage executive schedules, including coordinating meetings and appointments using Outlook Calendar.
- Use a task management software to keep projects running smoothly
- Organize employees hours and low level tasks
- Handle data entry tasks, maintaining up-to-date records in various databases.
- Assist with office management duties
- Utilize QuickBooks for basic financial tracking and reporting as needed.
- Provide excellent phone and email etiquette while managing incoming calls/emails and inquiries.
- Facilitate document signing processes using DocuSign to streamline approvals.
Experience
- Proven experience as an administrative assistant or in a similar role, preferably supporting executives.
- Proficiency in office software, including Microsoft Office Suite (especially Outlook) and QuickBooks.
- Strong data entry skills with attention to detail to ensure accuracy in all tasks.
- Familiarity with document management systems and electronic signature platforms like DocuSign is a plus.
- Excellent communication skills, both verbal and written, with a professional demeanor.
- Ability to prioritize tasks effectively in a fast-paced environment while maintaining high-quality work standards.
If you are an enthusiastic individual, a self starter and don't mind jumping into new things then this might be the job for you. We are also flexible on when and where you work. I would describe this as mostly remote with maybe a meeting once a week where we meet in person or via videoconference.
Job Type: Part-time
Pay: $20.00 - $27.00 per hour
