Job Title : Office Manager - Civil / Architecture Firm

Location : Phoenix, AZ

Salary : $50,000 - $70,000

Eligibility : U.S. Citizens and Green Card holders only

Work Arrangement : Onsite, 5 days a week

Job Overview :

We are seeking an experienced Office Manager to oversee administrative operations in a civil engineering and architecture firm . The ideal candidate will have 6 years of experience in office management within the civil or architecture industry , ensuring seamless workflow, efficiency, and compliance with company policies.

Key Responsibilities :

  • Manage day-to-day office operations , ensuring a well-organized and efficient workplace.
  • Oversee administrative functions , including document management, scheduling, and internal communications.
  • Coordinate HR-related tasks , such as onboarding, employee records management, and benefits administration.
  • Maintain compliance with industry regulations and ensure adherence to company policies.
  • Assist in financial administration , including budgeting, invoicing, and expense tracking.
  • Serve as the primary point of contact for vendors, clients, and internal teams .
  • Support leadership with reporting, meeting coordination, and office resource management .
  • Handle facility management , ensuring the office environment is well-maintained.

Required Qualifications :

  • 6 years of experience as an Office Manager within a civil engineering or architecture firm .
  • Bachelor's degree in Business Administration, HR, or a related field .
  • Strong knowledge of office management processes, HR practices, and administrative best practices .
  • Proficiency in Microsoft Office Suite, project tracking tools, and document management systems .
  • Excellent communication, leadership, and problem-solving skills .
  • Strong ability to prioritize tasks, manage deadlines, and support multiple departments .
  • Preferred Qualifications :

  • Experience handling accounts payable / receivable, payroll coordination, or financial administration .
  • Familiarity with industry-specific project management software .
  • Prior experience coordinating with civil engineers, architects, and contractors .
