Schedule: 40-hrs weekly, M-F (8AM – 5PM/ 6AM-3PM, Weekends as determined
Salary/Hourly Wage: $65-75k
Project Length: 6mths-1 year

Who We’re Looking For:
We are seeking a highly motivated and organized Safety Onsite Administrator to join our team. This hybrid role combines the responsibilities of a Safety Manager and a Project Manager Administrative Assistant, supporting our team to ensure a seamless fire sprinkler installation process. The ideal candidate will be an effective multitasker and a positive team player, working on-site at our latest project in Jeffersonville, OH.
Key Responsibilities:
- Serve as the first point of contact for all onsite EHS inquiries, managing communication in person, via phone, and email.
- Review and process drug testing results for crew employees and subcontractors.
- Assist with administrative tasks such as payroll, incident investigations, equipment ordering, and injury report completion.
- Coordinate training logistics and manage new hire orientations.
- Open and set up new projects according to Pre-Design procedures.
- Pre-fill design forms and gather safety-related project documents.
- Update design progress logs and manage permits to work (PTWs).
- Order office supplies, prepare courier shipments, and coordinate service calls.
- Provide overflow administrative support and vacation coverage.
- Input and manage data on online safety databases such as Hammertech and Procore (extensive training will be provided).
- Collaborate with Project Managers on additional duties as assigned.
Candidate Requirements:
- High School Diploma or GED required.
- OSHA 30 certified
- Comfortable around Heavy Equipment
- Excellent communication skills, both verbal and written.
- Customer-focused with good relationship-building and conflict-resolution skills.
- Ability to solve problems independently and collaboratively.
- Minimum of one year of clerical support experience, including data entry.
- Proven ability to maintain confidentiality.
- Exceptional organizational skills and attention to detail.
- Basic knowledge of OSHA, ANSI, and EPA regulations is required
What You’ll Need in Your Toolkit:
- Experience in office administration, payroll, and accounts payable is preferred.
- Self-motivated with a strong work ethic and detail-oriented approach.
- Ability to work both independently and as part of a team.
- High Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with Adobe Acrobat.
- Ability to read blueprints/maps and understand technical specifications related to fire protection and construction.
