Position Summary: The Database Coordinator and Prospect Researcher is a key member of the development team, responsible for managing the donor database, processing gifts, conducting prospect research, and ensuring donors are properly acknowledged. This role ensures data integrity, provides actionable insights on potential donors, and supports the Education Foundation of Sarasota County’s vision to unite the community to prepare each and every student for life.
DUTIES AND RESPONSIBILITIES
Systems and Database Management:
· Serve as resident expert on the Raiser's Edge database.
· Ensure donor data is consistent, complete, organized, and stored securely.
· Manage and maintain the donor database, including data entry, updates, and regular audits to ensure accuracy.
· Develop and implement database policies and procedures to support data integrity and security.
· Generate and analyze reports to support fundraising campaigns and provide insights into donor behavior.
Gift Entry, Acknowledgments & Reconciliation:
· Accurately process all donations and pledges in the donor database, ensuring timely and accurate recording of contributions.
· Produce acknowledgment letters and tax receipts within 48 hours of gift receipt, maintaining high standards of business etiquette and tax receipt protocol.

· Manage the month-end process, including troubleshooting and auditing data to ensure seamless data transfer to the business office, and prepare a monthly reconciliation report.
Reporting:
· Develop and manage the distribution of regular data reports, including weekly revenue reports.
· Produce queries, reports, and lists needed by development staff for mailings and events.
· Collaborate closely with the chief development officer to design and execute complex, queries that generate actionable reports, providing insights to inform fundraising strategies. Ensure data is presented in a way that supports strategic decision-making
Prospect Research:
· Conduct thorough research on potential donors, including individuals, corporations, and foundations, to assess their capacity and propensity to give.
· Prepare comprehensive profiles and reports on prospective donors to assist in cultivation and solicitation strategies.
· Stay current with effective prospect research techniques and trends in the fundraising field.
Collaboration and Support:
- Work closely with the development team to identify and prioritize fundraising opportunities.
- Provide training and support to staff on database usage and best practices.
- Assist with special events and donor cultivation activities, which may require travel and/or evening or weekend work.
· Cooperatively accept other duties as assigned.
EDUCATION, EXPERIENCE AND QUALIFICATIONS
- Bachelor’s degree or equivalent experience in nonprofit fundraising.
- Proficiency with Blackbaud Raiser’s Edge or similar donor management software.
- Proficiency with ResearchPoint, Wealth Engine, or similar donor research tools.
- Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team, managing multiple projects and deadlines.
- Understanding of data privacy regulations and best practices in data management
- Proficiency in Microsoft Office 365 (especially Word, Excel, and Teams).
- Understanding of basic accounting principles is preferred.
