Setting clear expectations for students leaving high school, building high-quality pathways that facilitate students’ transitions, and creating appropriate advising structures and capacity to help students navigate their journeys are all fundamental to raising postsecondary attainment rates and advancing economic mobility, particularly for groups that have been underserved based on their race, ethnicity, and/or socioeconomic background.

In 2025, ESG will begin developing a new strategic plan that will allow us to reflect on our progress and set a new course for our work and our impact across the nation. We are committed to expanding our work with K-12, higher education, policymakers, and employers to build stronger talent pipelines and ensure economic opportunity and mobility for all.

 

Position

The Executive Administrative Assistant will provide multi-faceted administrative support and assistance to ensure the effective use of the CEO’s time and enable their executives to focus on strategic leadership, revenue generation and decision making. Responsibilities will encompass efficient calendar management, thoughtful preparation for CEO facilitated meetings, overseeing video/conference calls, useful agenda coordination, detailed note taking, and effectively communicating follow-up tasks. Routine responsibilities will include arranging domestic travel, coordinating hotel and transportation arrangements for the CEO, and, as necessary, planning for executive team off-site events and meetings. This will be done in close collaboration with other administrators and teams to synchronize meeting schedules. Cultivates positive, trustworthy, and strategic relationships at every level within the organization. Exercises discretion, sound judgment, and administrative expertise to support the CEO's activities while ensuring confidentiality and effectiveness.

 

Duties and Responsibilities

The Executive Administrative Assistant’s primary duties and responsibilities will include:

Administrative Responsibilities

  • Provide overall administrative assistance to the CEO, including managing his calendar, travel and other essential needs.
  • Track and manage the CEO’s priorities, anticipating his needs and facilitating his ability to accomplish his highest priority tasks
  • Proactively manage CEOs calendar, exercising judgment in what should be prioritized
  • Proactively identify opportunities to improve efficiency and enhance the CEOs productivity. 
  • Support CEOs relationship management externally
  • Facilitate communications and alignment with leaders and staff internally
  • Ensure CEO is prepared for key internal and external meetings, and handle any necessary follow up
  • Coordinate, manage and execute various assigned or ad-hoc projects, ensuring that the project plans tasks, schedules, estimates, and status updates are maintained.
  • Reconcile the CEO's key accounts by examining the monthly statements to ensure that all internal records, receipts, and transactions are accurate and properly documented. Should any discrepancies arise, collaborate with the vendor or a member of the internal finance team to ascertain whether a receipt is missing, fraudulent activity is present, or if there are other areas of concern.
  • Effectively handle confidential and non-routine information and explain administration policies when necessary.

You are always multiple steps ahead of the CEO. You are efficient with your time and with the CEOs time, and you manage tasks with urgency and timeliness.

Communications-Focused: You have a demonstrated track record of communicating effectively and professionally on behalf of executives, whether in writing, over the phone, in video meetings or in person. You understand the importance of quick response times when dealing with the CEO and other company executives. 

 

Strategically Minded: You will grasp the organization's goals and understand how to move them forward. You are able to prioritize what’s most important and to differentiate what requires more or less of the CEO’s attention. You are good at making connections and recognizing opportunities for alignment. You will exercise good judgment when facing new opportunities, conflicting priorities, and difficult decisions.
 

Organized and Self-Starter: You can manage a large administrative workload and balance competing priorities. You are self-motivated and a task master. You possess the ability to work autonomously, exercise sound judgment, and plan and execute tasks without reminder or daily supervision, including resource identification, data organization, and key stakeholder communication.

Business Administration Savvy: You understand the priorities that are critical to the organization’s success and directly support the CEO in identifying, balancing, and addressing those needs from an administrative perspective. You are poised with a positive, professional and confident presence, and represent the CEO’s interests while building relationships with others.

 

You have 10-15 years of relevant professional experience.

Location

ESG has a home base in Washington, DC. and employees working virtually in cities across the country. The Executive Administrative Assistant role will require you to mirror the CEO’s in office schedule and will be expected to commute to be in the DC office.
