Job Title : Temporary Community Engagement and Data Entry Coordinator
Division - Department : Sirovich Center for Balanced Living
Job Classification (FLSA) : Non-exempt, up to 12 hours weekly. Looking for individuals with availability on Thursdays and Fridays from 8 : 30am -1 : 30pm.
Supervisor : Associate Director of Sirovich
JOB PURPOSE
Support program staff with welcoming members to Sirovich Center for Balanced Living (SCBL) by being present in lobby, assisting incoming members with completing SCBL member applications, orientating all members to the center, answering program related questions, signing folks up for classes, trips, food pantry, answering phone calls, overseeing the Sirovich email inbox and replying accordingly, and assisting with the selling of SCBL ceramics, 12 ST swag, and jewelry. Additionally, the community engagement and data entry coordinator ensures all data is entered accurately and timely into Peerplace database (soon to be Vive), to be in compliance with Department for the Aging contractual obligations. Data includes : Class Attendance Sheets, Meal Attendance (breakfast and lunch), Client Satisfaction Survey, Nutrition Risk Survey, Information and Referral, etc.
SCOPE OF INFLUENCE
Direct client group : older adult population
To ensure excellent customer service to members and accurate data entry
Work with staff, interns, and volunteers to develop a friendly and welcoming environment for older adults and visitors at the senior centre.
KEY RESPONSIBILITIES AND ACCOUNTABILITIES
Be present in lobby, greeting and engaging all members and visitors.
Assist visitors and members with any and all questions.
Check membership card and verify all documents are current in Peerplace (Vive) database.
Check-in members according to the sign-in sheet and assist with legible signatures
Sell and collect meal tickets for breakfast and lunch.
Answering main phone line and directing calls as needed
Overseeing Sirovich email inbox and responding to members
Registering members for classes trips and food pantry
Distribute calendar of events and flyers to members as per their interest
Data entry into PeerPlace (Vive) database. Data includes : Class Attendance Sheets, Meal Attendance, Client Satisfaction Survey, Nutrition Risk Survey, Information and Referral and Etc
Selling of SCBL ceramics, 12 ST swag, and jewelry
Additional Miscellaneous administrative tasks
Perform other related duties as assigned.
JOB REQUIREMENTS
Required Knowledge
Strong computer and Microsoft office and excel knowledge and skill
Needs to be very comfortable using databases and troubleshooting issues
Invested in fostering a harmonious community and embracing our diverse older adult population.
Remain on feet for extended periods of time
Detail oriented, effective written and verbal communication skills.
Eager team collaborator interested in all aspects of engaging older adults, including attending program planning meetings.
