SUMMARY:
The office manager/administrative assistant provides support to the minister(s), church staff, Elected Core Ministry and other ministry teams. Responsibilities include administrative, financial and clerical office duties; communication, database, website, social media and facility management.
This is a 35 hour, M-F, exempt position. Reduced summer hours can be negotiated.
QUALIFICATIONS
- Excellent computer proficiency, including all Microsoft Office products(Word, Excel, PowerPoint, Publisher, and Outlook). Knowledge of G-Suite products (Sheets, Docs, Calendar) and email marketing programs.
- Bookkeeping (QuickBooks)
- Experience with Word Press/website maintenance and social media a plus
- Database management (eTapestry)
- Strong verbal and written communication skills
- Ability to work responsibly with confidential information
- Ability to set priorities and work with minimal supervision
- Strong organizational skills and attention to detail
- Must Pass a CORI check
- Ability to work with different people of different backgrounds
RESPONSIBILITIES
- Answers or appropriately directs in-person, telephone, email, written and other inquiries
- Provides first assistance/referral to people in crisis who call the church
- Maintains electronic calendar (internal and public) of church activities, events, room usage, and, if requested, minister appointments; notifies sexton of church activities which may need his attention; sends Zoom invites to ministry teams and other groups in the church
- In conjunction with the Building and Grounds Team, schedule and manage building use and meeting space rentals including contractors, special and recurring groups. Arrange for proctors if needed.
- As appropriate assembles, edits, designs, prepares, copies, and/or mails Church documents such as the weekly worship Bulletin, monthly Spire newsletter, pledge quarterly statements, annual report, meditation booklets, certificates, special event notices, etc.
- Maintains congregational database, updates mailing address, email, and phone numbers as appropriate; informs Clerk of membership changes, updates Church Directory; provides Stewardship Chair with pledge statistics as needed and statistics for UCC reporting
- Process weekly offerings and rental payments, including recording in eTapestry database and making bank deposit
- Record and enter Pledges in eTapestry; process and mail quarterly pledge statements
- Manage church income; enter bills, enter deposits, and prepare financial reports at the direction of the Treasurer.
- Order supplies and Church materials / contact service providers. Schedules appointments with appropriate service providers for church maintenance
- Maintains and updates Church website, YouTube, Instagram and Facebook page. Prepares or creates social media posts for upcoming events, weather cancellations and other requests.
- Monitor and maintain the thermostat settings
- Maintain electric keycard system
- Other administrative duties as needed or assigned
SUPERVISION
Reports to the Head of Staff; is evaluated by the Head of Staff in consultation with the ECM, Buildings and Grounds Team and/or the Treasurer
PHYSICAL QUALIFICATIONS
- Standing/sitting for long periods of time
- Regularly required to listen, physically direct, and speak
- Position requiring mobility, including bending, lifting (up to 30 lbs.), pushing, walking
- Use of hands and fingers to manipulate office equipment, handle, or feel and reach with hands and arms
WORKING ENVIRONMENT
- The work environment is usually moderately quiet; however, variations in noise level may occur when functions are held at the church.
- The employee may be exposed to dusty environments
- The environment may be stressful and hectic at times with frequent interruptions
