We are a small estate and elder law firm seeking a regular full-time Ambassador of First Impression with a welcoming and bright attitude. Our firm's mission is to provide our clients with peace of mind if/when a death or dying crisis occurs. We also provide estate planning, litigation, elder care planning and management with a fierce advocacy for the vulnerable elderly and others. As the first contact with the firm, either through the lobby door or through the telephone, this staff member sets the firm's first impression with professionalism and compassion.
Our ideal candidate must be team-oriented, capable of multi-tasking, organized, computer savvy, and attentive to details. All staff members must maintain client confidentiality. The candidate must be reliable, punctual, able to work with minimal supervision and take initiative to assist the attorneys and other staff members. Also, maintain and portray a pleasant disposition with clients, prospects, vendors and anyone who visits or calls the Firm.
Duties: This staff member supports the Managing Partner and all staff members with the current vision & mission. Answer the phones and communicate with clients, professionals, the court, and government offices via phone and email; schedule all appointments; manage the calendar; explain and email the initial client engagement and questionnaire; confirm appointments with clients via telephone and email; prepare conference rooms for client meetings; maintain, record client payments, and tidy the office space to welcome clients and keep the firm's tasks efficient; offer clients and visitors beverages; scan, label and file all incoming and outgoing mail and documents; assemble, prepare and post documents for mail or delivery; serve as a witness in estate planning signing ceremonies.
Minimal Requirements: High School Degree or GED, extensive experience answering phones with a client intake background, preparing mail, filing, using (or competent ability to learn), Adobe Acrobat, CLIO, Proficient in Microsoft 365 (Word, Teams, Outlook, Calendar, Excel). Background in law or other professional office preferred but not required. Bilingual is also preferred but not required.
Hours: Monday to Friday, 9:00 a.m. to 5:30 p.m.
Hourly rate: This is an hourly paid position. The rate is commensurate with experience with opportunities for increases and growth.

Assessment: Applicants who meet the minimum qualifications will be asked to take and pass an assessment test (up to 45 minutes long) to be moved forward to the next interview step(s).
Salary : $15 - $19
