Job Title: Transportation Administrative Assistant
Supervisor: Transportation Operations Manager
Rate of Pay Commensurate with Experience
Summary: The Transportation Administrative Assistant will assist the Director of Safety and Transportation Operations Manager in daily duties to include, but not limited to: Assist with onboarding of Transportation employees; maintain drivers and mechanics files with precise emphasis on DOT qualification where applicable; schedule medical certifications with occupational medicine providers for CDL drivers; obtain reports through third-party vendors; generate various detailed internal reports; provide support with communications, presentations and recurrent training initiatives of Transportation employees (Administrative, Truck Drivers and Maintenance personnel) to include preparation, scheduling, and follow-through to completion. Additional duties and responsibilities may be assigned at the direction of the Transportation Operations Manager and Director of Safety for Transportation.
Qualifications:
- At least two, but preferably 5 years of employment experience in commercial trucking, preferably in safety and/or operations.
- Must possess strong communication skills as well as having proficient multi-tasking abilities.
- Experience with TMS (Transportation Management Software), Trimble/PeopleNet preferred.
- Familiar with USDOT/FMCSA/OSHA regulations and standards.
- Knowledgeable of maintenance terminology and repair as applicable to all rolling stock (motorized equipment and vehicles) the Company operates.
- Knowledgeable of HR processes pertinent to onboarding of truck drivers and mechanics, with significant emphasis of those with CDL-A license, and recurrent documentation.
- Familiar with insurance terminology as it pertains to claims reporting for auto liability, physical damage and/or workers compensation.
- Able to complete data entry of first reports in TMS to include those pertinent to safety, maintenance, and operations.
- Understanding of Hours-of-Service requirements; familiar with processes in resolving conflicts with ELDs.
- Accurate completion of duties within time constraints.
- Able to obtain and direct sensitive information to the appropriate intercompany personnel, outside entities, and enforcement agencies in a professional, timely and discrete manner.
