We are seeking a highly organized and detail-oriented Office Manager to oversee and streamline the day-to-day operations of our headquarters. The ideal candidate will play a key role in ensuring our office runs smoothly, efficiently, and in alignment with our company’s standards of excellence.
Key Responsibilities :
Office Management :
- Oversee all aspects of office operations, including alarms, fire safety systems, and building maintenance.
- Manage office supplies, ensuring cost efficiency and inventory control.
- Coordinate with external vendors for facility-related services, including cleaning, repairs, and maintenance.
- Maintain compliance with office health and safety regulations.
- Serve as the main point of contact for building management and facility-related concerns.
IT Oversight :
Manage relationships with the external IT support company to ensure timely resolution of technical issues.Oversee hardware and software inventory, procurement, and updates.Ensure all IT systems, including network infrastructure, are secure and meet company operational needs.Coordinate new employee IT setup, including hardware and software onboarding.Human Resources and Benefits Administration :
Administer employee benefits programs, including health insurance, 401(k), and other company offerings.Assist with onboarding and offboarding employees, including benefits enrollment and termination.Maintain accurate and confidential employee records in compliance with HR regulations.Serve as the first point of contact for employee benefits-related inquiries and issues.Work closely with leadership to manage annual benefits renewal processes and updates.Administer BambooHR Program including updates, approval changes, etc.Recruiting and Retention :
Collaborate with hiring managers to identify staffing needs and develop job descriptions.Coordinate the recruitment process, including posting job openings, screening resumes, scheduling interviews, and onboarding new hires.Develop and implement strategies to enhance employee retention and engagement, fostering a positive workplace culture.Organize and oversee employee recognition programs, team-building activities, and other initiatives to improve morale and satisfaction.Stay updated on industry trends and best practices in recruitment and retention.Administrative Support :
Support leadership and project teams with administrative needs as required.Develop and enforce office policies and procedures to ensure operational efficiency.Coordinate company events, meetings, and training sessions.Qualifications :
Minimum of 5-7 years of experience in office management, preferably within the construction or a related industry.Strong understanding of IT systems, including hardware and software management, and experience coordinating with external IT vendors.Proven experience in HR and benefits administration.Excellent organizational and multitasking skills, with a strong attention to detail.Proficiency in Microsoft Office Suite and familiarity with construction-related software (e.g., Procore, GCPay, eCMS) is a plus.Strong communication and interpersonal skills to foster a positive office environment.Why Join EE Reed Construction?
