Adminstrative Assistant (Elections)
The purpose of this classification is to assist the department head in daily activities, providing clerical support, to ensure a smooth and efficient departmental/ office operation. Employees in this classification also serve as lead workers to part-time clerical staff in the office.
Principal Duties and Responsibilities (Essential Functions**):
The following duties are typical for this classification. Incumbents may not perform all of the listed duties and/ or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices.
- Perform a full range of secretarial, advance clerical and routine administrative duties.
- Answering the telephone; receive visitors, answering inquiries from the public, maintain schedules, and calendars; maintain correspondences, photocopies, faxes, and distributes documents.
- Effectively represent the Board of Elections and Registration to outside individuals and agencies.
- Provide information about the electoral process and voting procedures to government officials, the public and candidates.
- Research and compile information from newspaper articles into binder for future review.
- File office correspondence and other records, maintain records of various kinds of work done by the department.
- Maintain inventory of supplies, orders, and requisition of supplies as needed.
- Receive deliveries of products and supplies and place them in prospective area.
- Assist in processing incoming and outgoing mail.
- Set-up interviews with prospective employees and verify all their documents are completed before submitting to Human Resources.
- Operations of computers: GARViS and EZ Vote, and additional departmental equipment as needed.
- Maintain copier, stamp machine and any other office equipment
- Communicate with Director, supervisors and employees, other departments, public and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.
- Recruitment of poll workers and standby poll workers ensures all workers are scheduled for and attend required training prior to each election.
- Schedule and print out poll workers paysheet at least two days prior to any schedule function: Delivery Team, Early Voting, Election Day Managers & Poll Workers, L& A Workers, Election Technicians and Training Classes along with worker name badges.
- Setting up the Ballroom for Advance Voting with the necessary supplies.
- Hold Voter Registration Drives at high schools and public events; verify photo identifications of applicants and ensuring application is completed correctly.
- Attends and participate in staff meetings as required
- Perform other duties as needed or required in the office.
Qualifications
MINIMUM QUALIFICATIONS High school diploma or GED; supplemented by college level course work or vocational training in office technology; supplemented by three (3) years previous experience and/or training that includes administrative and clerical work; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
