JOB SUMMARY
Under the general direction and supervision of the Director of Surgical Services, the RN Surgical Services Resource Coordinator plays a crucial role in ensuring the delivery of exceptional quality care by nursing and support staff throughout every critical stage of the surgical process. This includes thorough patient preparation before surgery and effective monitoring and support during post-operative recovery. The primary focus of the RN Coordinator is to lead, guide, and supervise all staff members involved in Surgical Services. This supervision will comply with current Federal, State, and Local standards, as well as guidelines and regulations that govern our facility. A key priority for this leadership role will be the continuous evaluation and reevaluation of our care delivery in each surgical area. Outstanding perioperative care will drive the supervisory functions of this position.
STANDARDS OF PERFORMANCE
Core Responsibilities and Essential Functions:
- Performance Evaluations: Conduct comprehensive performance evaluations of nursing and support staff during their initial hiring phase and annually thereafter. This process will not only assess clinical competencies but will also evaluate interpersonal skills and adherence to our organizational values, fostering a culture of accountability and high standards of care.
- Subject Matter Expertise: Provide rigorous education and facilitate vital information sharing amongst all staff levels. This may include leading training sessions, developing educational materials, and serving as a go-to resource for inquiries, ensuring that every team member is equipped with the knowledge needed to excel.
- Direct Patient Care: Administer treatments and procedures as directed by the physician, adhering to established nursing policies, procedures, and state regulations. Responsibilities will include monitoring patients during all phases of perioperative care, addressing their physical and emotional needs to ensure a compassionate and supportive environment.
- Documentation and Compliance: Meticulously document nursing care by strictly following comprehensive charting guidelines and meeting the specific criteria established by Medicaid and Medicare. Maintaining organized medical records is crucial, as it will guarantee compliance with Health Information Management (HIM) standards and facilitate accurate patient care and efficient retrieval of information.
- Patient Care Experience Evaluation: Regularly evaluate patient care experience. Develop and present actionable recommendations for enhancing the surgical patient's experience, addressing any areas of concern, and collaborating with the Director of Surgical Services to ensure optimal care delivery.
- Policy Review and Implementation: Responsible for taking an active role in reviewing and updating department policies and procedures to ensure they reflect current best practices and are effective in addressing patient care needs. This will involve collaborating with staff to gather insights and feedback for continuous improvement.
- Resource for Staff: Act as a reliable resource for staff regarding surgical services policies, procedures, and protocols. Ensure all team members understand and comply with applicable standards, fostering a learning environment where questions and clarifications are welcomed.
- Regulatory Compliance: Oversee that all department personnel comply with the necessary regulatory and legal requirements, ensuring that our operational practices reflect the highest standards of safety and ethics.
- Forms Evaluation and Modification: Responsible for ongoing evaluation of all relevant pre-and post-operative forms to identify necessary changes or complete revisions. In collaboration with the Director of Surgical Services, present modifications to the forms committee, ensuring they meet the evolving needs of our surgical process.
- Staff Training and Education: Responsible for leading training initiatives to educate staff on new processes and procedures related to surgical services, helping to ensure the team is not only compliant but also proficient in delivering care that meets our standards of excellence.
- Collaborative Quality Improvement: Collaborate with leadership to implement quality improvement initiatives within the surgical services department. Participate in identifying key areas for enhancement and contribute to strategic planning efforts aimed at improving patient outcomes.
- Patient Communication: Communicate effectively with patients, family members, and/or significant others, explaining that they will receive follow-up phone calls and surveys to check on their condition and assess their surgical experience.
- Team Collaboration: Work closely with multidisciplinary teams to ensure seamless care delivery, coordinating efforts for interdepartmental communication and collaboration that supports optimal patient outcomes.
- Stay Current with Industry Trends: Stay informed about the latest industry trends and best practices in surgical services. This will involve participating in professional development opportunities and engaging in continuous learning.
- Operational Efficiency Projects: Coordinate and lead projects aimed at improving operational efficiency, involving staff at all levels to gather insights and enhance workflow processes for better patient care.
- Ethics and Confidentiality: Uphold the highest legal and ethical standards regarding patient confidentiality and privacy. Ensure that all staff understand and adhere to our privacy policies.
- Additional Duties: Expected to perform other duties as assigned, required, or necessary, demonstrating flexibility and commitment to meeting the needs of our surgical department in a dynamic healthcare environment.
Inventory Management Responsibilities
- Establishing Supply and Equipment Levels: Develop and maintain optimal inventory levels of supplies and equipment necessary for the efficient operation of the Operating Room (OR). This includes regular assessments to ensure that stock levels meet the demands of surgical procedures and other OR activities.
- Ordering Supplies: Take responsibility for ordering all necessary supplies for the OR. This involves creating and processing purchase orders, ensuring that the ordering systems are utilized effectively. Upon receipt of supplies, check each order for accuracy and completeness, confirming that the correct items have been delivered in the appropriate quantities.
- Managing Returns and Shipments: Prepare goods for return when necessary, ensuring that all procedures for returns are followed correctly. Additionally, handle the organization and shipment of all goods exiting the OR, ensuring compliance with relevant protocols and documentation requirements.
- Maintaining PAR Stock Levels: Work closely with staff members to establish and uphold par stock levels in all areas of the OR. This requires ongoing communication and collaboration to identify usage patterns and adjust inventory levels proactively, ensuring that all necessary supplies are readily available.
- Biannual Inventory Coordination: Take the lead in coordinating and participating in a comprehensive inventory check biannually. This involves systematically counting and verifying stock items, documenting any discrepancies, and making necessary adjustments to inventory records.
- Invoice Management: Match billing invoices against received goods and services, ensuring accurate coding and processing. Collaborate closely with the Director of Materials Management to reconcile any issues and streamline the billing process.
- Communication and Support: Engage with physicians and nursing staff to assess special product or equipment needs. Evaluate and indicate the potential for trial use of specific items based on feedback and requirements, ensuring that clinical staff have access to the tools they need for optimal patient care.
Requirements
Minimum Level of Education: Nursing Diploma or ASN required; BSN or MSN preferred.
Formal Training: Extensive expertise in medical terminology and a deep understanding of surgical services and operating room procedures. Ability to prioritize tasks and independently work without requiring close supervision. Possess strong written and verbal communication skills, Management skills and experience in planning, organizing, implementing, facilitating, interviewing, coaching, and counseling.
Licensure, Certification, Registration: Must have and maintain an unencumbered Georgia Registered Nurse license. Must have and maintain a Basic Life Support (BLS), Advanced Cardiovascular Life Support, (ACLS) and Pediatric Advanced Life Support, (PALS). Maintain all CEU’s as required by the state. Certified Surgical Tech (CST) or Certified First Assist (FA) preferred.
Work Experience: 2-3 years of related supervisory experience in healthcare, within perioperative services is strongly preferred. Intermediate computer skills with word processing and spreadsheet capabilities.
