Duties and Responsibilities:
- Order Management:
- Create and manage purchase orders (POs) and sales orders (SOs) using Sage Accounting software.
- Ensure all orders are accurate, complete, and processed in a timely manner.
- Logistics Coordination:
- Oversee shipping and receiving activities, ensuring proper documentation (e.g., CI, BOL) and timely delivery of materials.
- Track shipments and resolve any discrepancies or delays with vendors or transportation companies.
- Collaborate with shop managers to ensure necessary parts and materials are available for project timelines.
- Recordkeeping & Reporting:
- Maintain accurate records of procurement, inventory transactions, and shipping/receiving activities.
- Ensure proper handling, storage, and documentation of received materials and outgoing shipments.
- Provide regular updates and reports to leadership on order status, inventory levels, and logistics activities.
- Vendor & Internal Collaboration:
- Communicate effectively with vendors to expedite orders and resolve issues.
- Collaborate with internal teams to ensure materials are available to meet project timelines.
- Process Adherence:
- Follow established procedures meticulously to ensure compliance and efficiency in all purchasing and logistics activities.
- Maintain an organized and efficient workspace, including filing systems and digital records.
- Clerical & Organizational Skills:
- Strong ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Exceptional attention to detail and accuracy in recordkeeping.
- Technical Proficiency:
- Experience with Sage Accounting or similar software for managing purchase and sales orders.
- Proficiency in Microsoft Office (Outlook, Excel, Word) for communication and reporting.
- Communication & Collaboration:
- Excellent verbal and written communication skills.
- Ability to work collaboratively with vendors, internal teams, and leadership.
- Problem-Solving:
- Proactive approach to resolving discrepancies, delays, or other issues in the procurement and logistics process.
- High school diploma or equivalent is required; further education in supply chain management, business administration, or a related field is preferred.
- 2 years of experience in purchasing, logistics, or a related clerical/administrative role.
- Proficiency with inventory management software and Sage Accounting or similar tools is preferred but not required.
- Must demonstrate the ability to work independently and maintain accurate records of procurement and inventory activities.
