Description:
The Admin & Inventory Assistant is responsible for handling administrative tasks and managing inventory to ensure smooth daily operations. This role involves maintaining records, coordinating shipments, tracking stock levels, and supporting the purchasing and project teams in ensuring that AV equipment and supplies are readily available.
Requirements & Skills:
- Education & Experience:
- Bachelor's degree in related field
- Minimum of 1 year of experience in administrative support, inventory management, or procurement (preferably in an AV or technology-related industry).
- Technical & Industry Knowledge:
- Understanding of AV equipment, components, and accessories.
- Proficiency in inventory management systems and Microsoft Office (Excel, Word, Outlook).
- Experience with purchasing and warehouse logistics.
- Basic knowledge of shipping/receiving processes, vendor coordination, and supply chain operations.
- Soft Skills:
- Strong organizational and multitasking abilities.
- Attention to detail and accuracy in data entry and record-keeping.
- Excellent communication skills for coordinating with vendors, suppliers, and internal teams.
- Ability to work independently and collaboratively in a fast-paced environment.
Knowledge:
- Inventory & Procurement:
- Tracking, managing, and replenishing stock levels for AV equipment, tools, and supplies.
- Coordinating with vendors and suppliers to ensure timely delivery of materials.
- Understanding AV product specifications to assist in purchasing decisions.
- Administrative Support:
- Maintaining detailed records of orders, invoices, and inventory logs.
- Organizing and filing shipping and purchasing documentation.
- Assisting with purchase order creation and approvals.
- Coordinating schedules for shipments and deliveries.
- Logistics & Compliance:
- Managing incoming and outgoing shipments, including quality control checks.
- Ensuring compliance with company policies and industry regulations related to inventory control.
- Conducting periodic inventory audits and reconciling discrepancies.
Responsibilities:
- Maintain and update inventory records for AV equipment, tools, and consumables.
- Monitor stock levels and generate restocking orders as needed.
- Coordinate shipping and receiving of AV products, ensuring timely deliveries.
- Support administrative functions, including data entry, filing, and document management.
- Assist in procurement by obtaining quotes, comparing pricing, and placing purchase orders.
- Communicate with vendors and suppliers to ensure accurate and efficient order processing.
- Work closely with project managers to ensure necessary materials are available for installations and service calls.
- Perform inventory audits and reconcile discrepancies in stock levels.
- Maintain organization of warehouse/storage areas for easy access to AV products.
- Handle any additional administrative and inventory-related tasks assigned by management.
Available shifts and compensation: Available shifts all days except Sundays and Saturdays. Compensation depends on your experience.
