Summary:  The Program Specialist is a highly flexible and adaptable staff member who can multitask and respond quickly to changing needs to support the FAYS Program. This employee helps develop data entry systems, controls, and analysis tools that help ensure consistent quality throughout the data entry process. This person provides general administrative support to the department as needed.  The scope of work is subject to change as needed to ensure all projects are completed. Likewise, complementary changes may be made to projects or individual goals and employee expectations based on agency/management strategic goals. All Center for Children team members are expected to be collegial and collaborative, mutually supportive, and focused on excellent services to clients, fidelity to program models, and ethical provision of services.

Compensation: 
Hourly Rate: $15/hr
Status: Full Time Non Exempt 
Performance bonus available

All employees who have completed one year of service qualify for a Simplified Employee Pension—individual Retirement Account (SEP-IRA). Under this plan, the agency contributes 5% of the employee’s gross salary to an individual retirement account, which is fully and automatically vested.

Primary Duties and Responsibilities
  • Quality customer service and a compassionate and warm welcome to callers, visitors, and clients.
  • Develops detailed knowledge of program requirements in order to conduct quality and accuracy reviews of paperwork, data entries, timesheets, and other documentation/systems.
  • Ensures databases and other record systems are maintained and updated accurately and quickly.
  • Maintains the “front office” space in the program assigned, ensuring the area is neat and welcoming for visitors. Monitor activities of space to help parents recognize when youth’s behaviors need redirecting and to manage noise levels.
  • Maintains confidentiality regarding all client data, presenting issues, treatment progress, or other information the Program Specialist may come in contact with.
  • Assists with Performance Measure tracking, data analysis, and reporting;
  • Produces monthly reports and coordinates monthly billing with accounting staff.
  • Completes audit files.
  • Completes data training for new employees with the assistance of the Quality Coordinator or designee.
  • Works in quality assurance processes with Quality Coordinator, Program Director, Division Director or designee.
  • Prepares mock files for service providers and maintains records room.
  • May assist with outreach, event coordination, and other tasks as assigned.
  • Runs errands, such as delivering/picking up supplies, items for events, etc.
  • Provides supporting documentation for audits.
  • Maintains accurate historical records.
  • Handles special administrative projects as well as overflow work from department and Center programs (taking minutes, meetings coordination, placing orders, etc.)
  • Participates on the Performance and Quality Improvement processes in the agency.
  • Adheres to accreditation standards (as developed), licensing standards, and other policies/regulations.
  • Maintains the “front office” space in the program assigned, ensuring the area is neat and welcoming for visitors. It is always ready for daily operations within business hours and/or as the supervisor requests.  The schedule can be rearranged per the supervisor's request based on agency needs.
  • Maintains confidentiality regarding all agency business and/or documentation.
  • Other duties as assigned.

Qualifications
Minimum qualifications for this position include:
  • A high school diploma or higher.
  • Have relevant experience.
  • Have a minimum of two years of relevant data entry experience.
  • Ability to read, write, and speak Spanish and English is preferred.
  • Exceptional computer skills, including proficiency in using the Microsoft Office Suite of business applications: Word, Excel, and PowerPoint.
  • Good time management, organizational, and interpersonal skills, and ability to communicate effectively with individuals from all walks of life.
  • Must have driver’s license, vehicle in safe operating condition, and maintain proof of current insurance at Texas minimum standards.
  • Must be able and willing to travel for trainings/meetings/conferences.
  • Must be able to walk, sit, stand, and lift and carry at least 25 pounds.

  • Every program at the Center is community and client-centric. Working with diverse partners to meet the needs of families in our community demands flexibility. The scope of work is subject to change based on the team’s performance and the funder’s expectations and on agency/management strategic goals.  The flexibility needed in this role includes scheduling of meetings/events/activities, scheduling supervision sessions with staff, training, staff meetings, and out-of-town travel for training and/or grant requirements.
