We are seeking a skilled Security Assistant to assist with and potentially lead efforts for the day-to-day implementation and execution of the National Industrial Security Program Operating Manual (NISPOM) and ensure compliance with government and company security policies and procedures. This role will also provide support or manage various duties including clearance processing, visit requests, document control, physical security, ID badges, alarm response, and other general office duties.
Responsibilities and Tasks:
- Assist with the processing of security clearances through DISS of employees, consultants, and subcontractors. Maintain accurate lists of all such personnel, clearance levels, and access levels.
- Brief employees granted CONFIDENTIAL or SECRET clearances on basic security requirements and provide debriefings for cleared employees leaving the company or having their clearances terminated.
- Arrange for and/or conduct security briefings for new hires and assist in the development and implementation of ongoing security training efforts or local security notifications for all employees.
- Coordinate with HR on upcoming new hire orientations and tracking of potential new hires.
- Manage or assist in maintaining an accurate list of all classified contracts and prepare and maintain contract, subcontract, and consultant lists for DCSA Security Reviews. Retain documents under closed contracts.
- Manage the control and safeguarding of all incoming, in house, and outgoing classified documents to include reviewing classification of documents generated internally and accountability of classified material. Document their receipt, dissemination, and subsequent destruction utilizing SIMS Software tool.
- Assist with foreign travel defensive briefings for employees traveling overseas as well as conducting debriefings for returning travelers as needed.
- Create, issue, and maintain employee identification badges and manage or assist with the access control software.
- Assist with efforts concerning physical security of the building to include the possible response to alarms for building or closed areas, key/lock control, combination changes and tracking, and security camera support.
- Support and work with on-site contractor Security Officer staff as directed by the Facility Security Officer (FSO).
- Support Security team or leads efforts involving various miscellaneous security forms and logs as well as adhering to corporate policies on protecting intellectual property, PII protection, property removal, Insider Threat Program, and other such policies.
- Review electronic communications such as email reports and follow up with employees to obtain Additional Info As Required By Policy And Procedures.
- Coordinate with the Government Security Committee (GSC) on Visit Requests (VR) in accordance with the VR Corporate Directive. Maintain records of approved VRs associated with parent and affiliated companies to expedite visit requests and contact reports and assist employees as needed.
- Maintain knowledge of applicable government regulations, changes to NISPOM requirements to include new Industrial Security Letters, and procedures necessary to maintain current compliance.
- Assist the FSO in any other areas of security required for compliance with the NISPOM to include routine self-inspections, annual DCSA Security Reviews, investigations, and administering the procedures established for classified visits.
- Provide recommendations to the Security team for improving efficiency, customer service, and incorporating automation.
- Assist with aspects of the company reception coverage to include switchboard operation, coordination of receptionist/security officer support, and training for new receptionists/security officers in this position – if applicable.
Qualifications:
To be considered for this role, you must have:
- High School education and 4-6 years' administrative experience
- 2 years of experience in the security office of a DoD Cleared contractor facility
- Experience with DISS/eQIP/NISS/SIMS
- Experience with the receipt, generation or storage of classified information
- SECRET Security Clearance
Skills And Abilities:
You should possess:
- Knowledge of DoD Security forms and processes
- Ability to operate standard DoD Security clearance databases and tools, including DISS, NISS and eQIP
- Knowledge of Microsoft Office applications
