Job Summary

Coordinates office operations including the front desk, food pantry, and client supplies; provides information and referrals to stakeholders; facilitates internal client assistance programs.

Knowledge, Skill & Ability Requirements

  • Bachelor's degree and 2 years experience in social services or related field, or Associate degree and 3 years experience
  • Excellent written, organizational, documentation, and communication skills
  • Organized with a high degree of attention to detail and accuracy in work
  • Working knowledge and experience using Microsoft Word, Excel, and Publisher
  • Experience in working in a social services setting and fast-paced environment is highly preferred.
  • Ability to listen actively, respond sensitively, and provide support to callers with questions or problems
  • Successful completion of Area Agency on Aging for North Florida EHEAP Training
  • Ability to stoop, lift, and bend up to 50 pounds
  • Valid driver's license and good driving record, driving within county limits is required
  • Successful completion of a Level II criminal history check, NSOPW registry search, and pre-employment drug screening

Duties & Responsibilities

1. Receives and responds to incoming phone calls and in-person client visits in a timely manner. Appropriate triage, assessment, and referral relative to client’s needs.

2. Maintains current working knowledge of resources available for Gadsden, Leon, and Wakulla County elders.

3. Initiates and facilitates client-related Crisis Intervention protocols and necessary follow-up protocols as needed.

4. Maintain and update client records in agency database with follow-up and communication with the AAANF, as needed.

5. Maintains ECS Emergency Food Pantry, secures nonperishable food items via donations and/or purchase, procures any needed items, maintains accessibility and appropriate storage of pantry items

6. Maintains inventory and waitlist of donated durable/consumable medical supplies, fans, heaters, blankets, and other elder-related items in an accessible fashion. Facilitates distribution of those items to elders in need.

7. Assist with donation drop-offs and dispersal of food and material aid donations.

8. Perform short-term case management responsibilities for assigned clients, as needed with completion of assessments, paperwork, and follow-ups, in a professional and timely manner.

9. Maintains confidentiality and security of Protected Health Information (PHI) according to HIPAA guidelines.

10. Facilitate EHEAP (Emergency Home Energy Assistance for the Elderly Program) prioritization and applications, making sure individuals are eligible for program and advising them of necessary paperwork before appointment. Providing contact information for referral sources when funds are not available and scheduling appointments.

11. Process and distribute mail, daily receipts, donations, and faxes.

12. Assist the development department in disseminating thank you notes, in-kind log, and obtaining donation receipts.

13. Perform other duties as assigned by the Clinical Director and/or the President/CEO.
