Key Responsibilities:
- Collaborate with Project Managers to provide support for up to 50 projects simultaneously.
- Maintain and update bid logs, prepare bid documents, and assist with the bid process as required.
- Request insurance certificates and bonds for awarded projects.
- Set up new projects in Sage Timberline Software.
- Process change orders by collecting relevant costs from tickets, invoices, and Field Work Orders. Communicate with customers and follow up as necessary.
- Update Contract Schedule of Values and facilitate monthly billing.
- Issue subcontracts to project vendors.
- Process subcontractor invoices and payment vouchers.
- Monitor subcontractors for necessary documents to ensure compliance.
- Process and track submittals using various Project Management software tools.
- Attend Pre-Construction and weekly project meetings as needed.
- Maintain and update project logs (Excel) to track submittals, change orders, rock tickets, and certifications.
- Reconcile job quantities, payments, and billings.
- Ensure the project team has up-to-date drawings.
- Assist Project Managers with project closeout by gathering As-Builts, warranties, bonds, and other necessary documentation.
- Stay current with DOT requirements and ensure project compliance.
- Understand the Iowa One Call system to process locates.
- Additional duties as assigned based on workload.
Qualifications:
- Proficient in Microsoft Office (Outlook, Excel, Word).
- Excellent proofreading and editing skills.
- Willingness to learn and navigate multiple project management software applications.
- Ability to thrive in a fast-paced, dynamic environment and manage multiple projects simultaneously.
- 1 to 2 years of experience in an administrative support role or a similar field; equivalent education, training, or experience may be considered.
- Understanding of Construction Project Accounting Principles and Practices.
- Experience working with construction subcontractor billables.
- Construction experience preferred.
