What are the responsibilities and job description for the Front Desk Receptionist/Administrative Assistant position at Elderly Caregivers LLC?
This is a clerical/support staff position with various responsibilities, which includes, but are not limited to, computer data entry, scanning, and filing, as well as organization, review and processing of paperwork. Candidate should possess excellent problem solving, analytical, communication and interpersonal skills. Hours of work are 9:00 AM – 5:00 PM, Monday through Friday.
- Manage general administration and office functions and logistical support for client care coordinators and sales. (Filing, phone calls, excel, word etc.)
- Greet office visitors and answer the telephone with a positive, warm demeanor to determine their needs and assist or direct them to the appropriate individual.
- Receive and coordinate incoming correspondence, including collecting and distributing mail. preparing correspondence and documentation including drafting and distributing of letters and emails to the appropriate staff members.
- Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies.
- Coordinate all operating systems, including ensuring that telephones, computers, printers, photocopiers are in good working condition, including maintaining supplies for operating systems and arranging technical support when require.
- Coordinating and Scheduling interviews and appointments with caregivers also interview caregivers.
- Collect, organize, and maintain client and caregiver records always ensuring their availability.
- Review caregiver handbook with all new caregivers and review office policies.
- Maintain listing of current and available caregivers to assist in identifying appropriate individuals to assign to new clients.
- Maintain and ensure that liability insurance coverages for all caregivers are up to date.
- Manage filing, storage, and security of documents.
- Participate in evening and weekend on-call responsibilities.
- Schedule and record results of in-service trainings for caregivers.
- Maintain EVV scheduling and reporting compliance reports.
- Add and edit users in office computer systems and generations homecare systems.
- Enroll caregivers into the EVV system.
- Work on additional projects within scope of knowledge, as requested by supervisors.
- Monitor and maintain required documentation for completion and adherence to meet all internal and DSS quality and compliance standards.
- Must be able to function with moderate supervision.
- Exceptional ability to manage time and handle multiple tasks and priorities.
- Attention to detail and highly flexible.
- Strong ability to work in a collaborative environment.
Job Type: Full-time
Pay: $18.50 - $20.00 per hour
