Summary As the Office of General Counsel Office Support Assistant, the incumbent shall provide clerical / technical support and serve as the central point of contact for the Office of General Counsel (OGC). Responsibilities General Administrative and Clerical Duties : The Office Support Assistant performs various clerical and administrative tasks such as preparing correspondence, meeting notes, and documentation, managing calendars, and using software programs like Microsoft Office to produce materials. Perform a wide variety of clerical and administrative support functions relative to specific USEAC production and its related program areas, prepare correspondence, meeting notes, forms, and documentation. At times, the support assistant serves as a clerical point of contact for OGC staff to the other USEAC divisions. Composes routine, administrative correspondence for OGC. Uses a variety of software programs (e.g., Microsoft Office) to produce a variety of material that is self-initiated or from oral instructions; prepare spreadsheets or presentations; and manage calendars. Supports the OGC team members with projects by collecting, organizing, or researching data. At times, acts as a liaison to coordinate and communicate with other divisions regarding joint projects. Supports OGC associate attorneys in organizing Freedom of information Act (FOIA) requests and maintaining records compilations in relation to the FOIA requests. Supports the records management specialist by conducting physical document scanning in compliance with NARA policies & guidelines. The support assistant ensures records scanning production is accurate and compliant with NARA guidelines. Scan and file documents when appropriate. Assist records management specialist in processing incoming mail for destruction or temporary storage. Maintains communication with internal and external points of contact and performs related liaison activities in support of OGC EAC projects & work production. Manages classified and sensitive material whenever necessary. At times, process sensitive material. Assists in the preparation of power point presentations, charts, fact sheets, and other information for in-house and external meetings. Compiles internal training attestations, tracks, and maintains lists of EAC staff training attestations. Receive and review incoming documents, both electronic and paper, to determine & track compliance with training requirements. Assist OGC staff to accomplish specific tasks in an Ad hoc manner. At times, serves as a principal point of contact on specific projects related to OGC. Perform other administrative clerical duties as assigned. This position is subject to a (1) year probationary period. Knowledge of capabilities and limitations of various software packages (e.g., Microsoft Windows, Calendar, Microsoft Word, Access database management, PowerPoint, and Microsoft Excel) to create and revise a wide range of documents, automated records, databases, and slides. Knowledge of grammar, spelling punctuation, and required formats and skills utilized in the preparation and distribution of correspondence. Knowledge of procedures, policies, and regulations pertaining to the control and issuance of Government Purchase Cards (GPC) and Purchase Requests (PR). Basic mathematic skills to assist with budget estimates, obligations, and expenditures, as well as the identification of over-or-under-obligation of funds.
