We are looking for an Accounting & Office Assistant to perform a variety of administrative tasks and support our company’s senior-level managers. You should be an organized, positive person, and a good communicator who is able to handle a fast paced environment and pay attention to detail. You will need to be a fast learner, self starter, and enjoy completing a lengthy task list. We are looking for someone who is humble and able to work well on a team, seeks to grow personally and professionally and to see the company grow. A good sense of humor goes a long way in this business, too.
Responsibilities
- Act as the point of contact among executives, employees, clients and other external partners
- Manage information flow in a timely and accurate manner
- Manage executives’ calendars and set up meeting
- Schedule service quotes and follow up with customer
- Format information for internal and external communication – memos, emails, presentations, reports
- Screen and direct phone calls and distribute correspondence
- Organize and maintain the office filing system
- Payment and performance bonds
- AR Invoicing
- Printing job costing reports
Skills
- Work experience as an Executive Assistant, Personal Assistant or similar role
- Bookkeeping and accounting experience
- Excellent MS Office knowledge
- Outstanding organizational and time management skills
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
- Excellent verbal and written communications skills
- Discretion and confidentiality
- High School degree
- PA diploma or certification is a plus
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
Expected hours: 40 per week
