Position Overview Riedl and Son Exterior Specialists is seeking a detail-oriented and organized Office Manager/Bookkeeper to join our team. This dual-role position is essential for ensuring the smooth operation of administrative functions and maintaining accurate financial records. The ideal candidate will have a strong background in bookkeeping, office management, and experience in the construction industry or a related field.
Key Responsibilities
Office Management:
- Oversee daily office operations, ensuring a well-organized and efficient work environment.
- Manage incoming and outgoing communications, including emails, phone calls, and correspondence.
- Maintain office supplies inventory and place orders as needed.
- Organize and maintain physical and digital filing systems for contracts, permits, and project documentation.
- Coordinate with project managers and site teams to streamline administrative tasks.
- Schedule meetings, appointments, and travel arrangements for management and staff.
Bookkeeping:
- Maintain and reconcile financial records, including accounts payable, accounts receivable, and general ledger.
- Prepare and process invoices, expense reports, and payroll for employees and contractors.
- Monitor cash flow, budget tracking, and financial reporting.
- Generate monthly, quarterly, and annual financial statements.
- Manage tax compliance, including sales tax filings and year-end reporting.
- Assist with audits and liaise with accountants, vendors, and financial institutions.
Construction-Specific Tasks:
- Track job costs, budgets, and progress billing for multiple projects.
- Process subcontractor payments and ensure compliance with lien waivers and insurance requirements.
- Manage permit applications and track regulatory compliance for projects.
- Maintain a comprehensive understanding of construction contracts, bids, and change orders.
Qualifications
- Proven experience as an Office Manager and/or Bookkeeper, preferably in the construction industry.
- Proficiency in accounting software (e.g., QuickBooks Online) and Microsoft Office Suite.
- Strong knowledge of bookkeeping principles and financial regulations.
- Excellent organizational, multitasking, and time-management skills.
- Familiarity with construction industry software (e.g., Hubspot, Sumoquote, etc.) is a plus.
- Strong communication and interpersonal skills.
- Ability to handle confidential information with integrity and discretion.
Education & Experience
- experience in bookkeeping and office management roles.
Working Conditions
- Full-time, on-site role in a fast-paced office environment.
- May occasionally require travel to job sites or vendor locations.
