Job Overview:
We are seeking a friendly, organized, and detail-oriented Patient Experience Coordinator to join our dynamic team at Elemental Natural Medicine, a leading Functional Medicine clinic. As the first point of contact for our patients, you will play a key role in providing exceptional customer service, ensuring smooth daily operations, and contributing to a welcoming, compassionate environment. Your communication skills, Microsoft Office proficiency, ability to follow up with patients, and comfort with handling patient payments will be essential in creating a positive experience for everyone who walks through our doors.
Key Responsibilities:
Customer Service Excellence:
- Greet patients with a warm, welcoming, and professional attitude, ensuring they feel comfortable and valued from the moment they arrive.
- Handle patient inquiries, concerns, and requests with a positive, problem-solving approach, ensuring an exceptional experience.
- Maintain a clean and organized reception area to create a calming environment for patients
- Answer phone calls in a timely and professional manner, scheduling appointments, providing information, and responding to inquiries about services.
- Communicate clearly and effectively with patients via phone, email, and in-person interactions, always maintaining a friendly and informative tone.
Appointment Scheduling & Follow-Up:
- Schedule patient appointments based on availability, ensuring accurate documentation and timely reminders.
- Follow up with patients before and after appointments to confirm, reschedule, or collect feedback, ensuring continuity of care and patient satisfaction.
Patient Records & Documentation:
- Accurately input patient information into the clinic’s electronic health records (EHR) system.
- Maintain confidentiality and adhere to HIPAA guidelines when handling patient information.
- Assist patients with completing necessary forms and ensure all required documentation is completed prior to appointments.
- Comfortably receive and process patient payments for services, ensuring accurate billing and record-keeping.
- Answer any patient questions regarding billing and payment methods, ensuring transparency and clarity.
Qualifications:
- Previous experience in a customer service or receptionist role, preferably in a healthcare setting.
- Exceptional communication skills, both verbal and written, with a focus on listening, empathy, and clarity.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks simultaneously
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Comfortable receiving and processing payments, with an understanding of basic billing practices.
- Comfortable working with computers, scheduling software, and basic office equipment.
- A positive, compassionate attitude with a genuine interest in helping others.
- Experience or interest in functional medicine is a plus, but not required.
