Key Responsibilities
Daily Responsibilities
- Respond to emails and manage low-volume phone inquiries.
- Process incoming mail and maintain organized digital filing systems.
- Handle occasional physical document filing.
- Enter data and cost estimates into QuickBooks.
- Monitor and follow up on new business opportunities.
Weekly Responsibilities
- Generate and send Work Order (WO) invoices.
- Replenish and manage office supply inventory.
- Perform project folder closeouts and scan lien waivers.
- Reconcile weekly credit card transactions.
- Provide administrative support in team meetings.
- Oversee company newsletters, social media updates, and insurance certification documentation.
Monthly Responsibilities
- Reconcile fuel receipts and credit card statements.
- Update Work in Progress (WIP) reports and maintain accurate project records.
- Audit QuickBooks entries, project files, and service portals.
- Complete light office maintenance as needed.
As-Needed Responsibilities
- Assemble project binders, close-out packages, and vendor documentation.
- Support contract administration, event coordination, and vendor updates.
- Initiate new Work Orders (WO).
- Maintain updated safety data sheets and ensure documentation compliance.
Qualifications
- Proven experience in an administrative or office management role.
- Proficient in Microsoft Office Suite, QuickBooks, and general office technology.
- Strong multitasking, communication, and problem-solving abilities.
- Self-starter with the ability to work independently and manage priorities.
- High attention to detail, professionalism, and organizational discipline.
Job Type: Full-time
Pay: $23.00 - $26.00 per hour
