Job Summary
The Allied Project Coordinator is an office-based role responsible for managing the installation and construction of loading docks, commercial door equipment, warehouse equipment. This role involves scheduling, organizing, and coordinating technicians, subcontractors, and project logistics to ensure projects are completed on time, within budget, and to the highest quality standards. The Allied Project Coordinator serves as the primary point of contact for customers, maintaining strong communication with sales teams, service teams, and technicians. This role requires strong organizational skills, multitasking ability, and attention to detail to successfully manage multiple projects simultaneously.
Key Job Responsibilities
Responsibilities
- Schedule site surveys, pre-installation, and post-installation walk-throughs.
- Schedule technicians, subcontractors, and rental equipment.
- Track vendor costs, equipment movement, and ensure proper documentation of service work orders.
- Create and process purchase orders, ensuring accuracy in costs for customers and vendors.
- Conduct follow-ups with internal and external customers 24-48 hours after equipment installation is complete to ensure satisfaction and set goals/process/procedures for improvement.
- Monitor budget performance for the Allied and Dock & Door Departments.
- Serve as the primary customer contact, addressing inquiries and updates throughout the project.
- Coordinate with Sales, Service, and Field Teams to ensure seamless project execution.
- Collaborate with the Allied Project Foreman and Allied Sales Coordinator for effective project execution.
- Attend and represent the company in project meetings and job-site discussions as needed.

- Ensure a safe, clean, and organized work environment, adhering to OSHA, ANSI safety regulations, and company safety standards
- Work with Manufacturer Service Managers and/or Manufacturer Product Sales Representatives to manage warranty claims.
- Provide administrative support to ensure projects are completed efficiently.
- Weekly, review the Open Sales Orders, WIP reports ensuring timely completion of project.
- Maintain updated project status in service software and prepare project closeout documentation.
- Support continuous improvement by identifying process enhancements.
- Perform additional duties as assigned by management.
Requirements
- 2-3 years of experience with commercial and/or industrial construction projects.
- Strong problem-solving capabilities.
- Proficiency in Microsoft Office (Outlook, Excel, Word).
- Technical certifications (e.g., AAADM, IDEA, Poweramp, Kelley, Overhead Door Brand) are a plus.
- Ability to multitask in a fast-paced, technology-driven environment.
- Excellent communication and organizational skills.
- High school diploma required.
- Ability to communicate effectively, verbal and written, with management, co-workers, and customers.
- The selected candidate will be required to pass a criminal history background check.
