The Medical Records Specialist job is to support the administrative team and physicians by maintaining practice-wide scanning and medical record request duties.

MINIMUM ESSENTIAL JOB REQUIREMENTS
- Maintain and review practice-wide scanning and querying of patient registration, history forms, operative pictures and notes, miscellaneous documents to ensure proper record management
- Maintain HIPAA compliance by utilizing a three-check system during the scanning process consisting of: (1) confirming name on document versus name in chart (2) check date of birth on document versus date of birth in chart (3) check medical record number on document versus medical record number in chart. Once the three checks are complete the document can be scanned into the chart
- Maintain practice’s medical record request which includes
- Answer all medical record’s phone calls and complete requests as needed
- Check medical record’s faxes and distribute and complete as appropriate
- Input medical record requests to third-party medical records vendor (Record Quest) and monitor Record Quest dashboard include replying to questions on medical record request
- Follow up on medical records request from previous day
- Create imaging discs for medical records request
- Directly import imaging discs into Inteleviewer software
- Complete chart audits request by health insurance companies
- Process payment for medical records request per Practice policy
- Maintain log of (1) number of documents scanned and queued, (2) number of medical record requests received and completed (3) phone calls received and returned and (4) payments processed for medical record requests
ADDITIONAL RESPONSIBILITIES
- Provide backup coverage for the Front Desk Team, if previously trained in Front Desk Specialist responsibilities
- Assist members of the administrative team, physicians or managers as needed
- Distribute postal mail; weigh and stamp Medical Records request, drop off outgoing mail to be collected, maintain two practice-wide mailboxes, sort and distribute mail and packages, other mail-related tasks as requested
- Other duties as requested and or necessary
KNOWLEDGE, SKILL AND COMPETENCY REQUIREMENTS
- High school diploma required
- Four-year college degree is preferred
- Knowledge of medical practice procedures and terminology is helpful
- Knowledge of EMR experience is preferred
- Ability to perform multiple and diverse tasks simultaneously
- Experience performing redundant tasks with minimal error rate
- High-level customer service and communication skills
