What are the responsibilities and job description for the Admin/Office Assistant position at Elite?
DUTIES AND RESPONSIBILITIES:
- Opening and Closing the Management office. Must be consistently at work, on time as scheduled.
- Receives all incoming calls. Provide customer service, route to the appropriate person or take detailed messages.
- Greets all vendors, customers and other visitors.
- Accept deliveries from vendors via warehouse roll up door which requires operating the roll up door manual open/closing (chain). Deliveries are typically on pallets. You would simply open the roll up door, show the driver where to drop the pallet and then verify that the items delivered match the packaging slip – identify and report any discrepancies. Note that this may require moving vehicles in/out of the warehouse through the roll up door to allow for deliveries. Vehicles are cargo vans.
- Check the mail daily, sort mail appropriately and route to the appropriate department. Process customer payments for deposit.
- Performs general clerical duties such as typing, copying, scanning, filing, and the sorting and routing of mail.
- Placing online/phone orders for janitorial and office supplies with vendors.
- Assists the Office Manager on various projects (examples: following up with internal scheduling, tracking orders to ensure timely receipt, tracking out-going deliveries to customers, assisting with staff assignments).
- Collects all time sheets on a bi-weekly basis, review for missing information and then submit to the Office Manager.
- Performs miscellaneous job-related duties as assigned and administrative assistance and support to the Office Manager and Corporate Principals.
- Assists the Accounting Department in various data entry projects and other accounts payable, accounts receivable duties.
- Perform other miscellaneous office tasks
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Microsoft Office: Outlook, Word and Excel experience. (Quickbooks experience is a Plus -but not required).
- Ability to prepare routine administrative paperwork and know how to use standard office equipment including a multi line phone system.
- Ability to communicate effectively, both orally and in writing.
- Excellent communication and interpersonal skills.
- Excellent analytical and organizational skills. Ability to handle multiple tasks/ projects with constant interruptions.
- Exceptional attention to detail and accuracy with problem solving and time management skills.
- High level of integrity and trustworthiness
Job Types: Full-time, Part-time
Pay: $17.00 - $18.00 per hour
