Position Title: Front Desk Representative
Reports to: Office Manager

The Front Desk positions initial administrative duties involved with coordinating patient and physician schedules as well as bookkeeping, file management and office organization. The position needs to be a professional who believes that patients should be treated as people rather than numbers in a file, and who understands the value of compassionate service. The job includes significant amounts of multi-tasking, but the person needs to know when to slow down, look patients in the eye and provide personalized service.
Front Desk essential functions/duties

"Opens" the office each day, according to protocol

Schedules patient appointments: explains to patient which pieces of information they are to bring, provides a range of potential charges for the visit and the patients financial obligation, provides patients several scheduling options, follows physician-approved scheduling guideline

Runs all encounter forms one day ahead of time

Ensures all patient EHR charts have been created and reviewed; attached encounter forms to patient traveling paperwork

Greets patients as they arrive for scheduled appointments

Provides new patients appropriate paperwork for required signatures

Verifies demographic and insurance information for all patients, according to protocol; makes a copy of each patient's insurance card, front and back

Explains financial and collection policies to new patients as needed and refers them to the billing office when appropriate

Ensures all patient paperwork is complete before patient is seenputs the chart up for the clinical staff

Informs patients in the reception area when the physicians are running behind

Screens visitors and responds to routine requests for information

Ensures all faxes are cleared off the machine and distributed throughout the day

Sorts incoming reports and directs to appropriate physician

Keeps the patient reception area neat and clean at all times throughout the day

Facilitates any physician requests throughout the day

Maintains patient confidentiality; complies with HIPAA and compliance guidelines established by the practice

Maintains detailed knowledge of practice management and other computer software as it relates to job functions

Learns all aspects of G-Suite

Schedules follow up appointments, as needed

Runs patients back as needed

Collects patients co pay and outstanding balances, or deposits prior to the patients appointment

Attends all regular staff meetings

Performs all other tasks and projects assigned by the Manager or Team Leader/Supervisor

Other duties as assigned
Compliance Duties

Constantly monitors for ways to increase efficiency and reduce risk within the organization

Report and follow directives of HIPAA and OSHA compliance officers
Qualifications

Required

Medical Office experience
