Position Overview
This position provides essential administrative and secretarial support for executive-level personnel while also playing a role in marketing coordination and financial document tracking. The ideal candidate is someone who enjoys juggling multiple responsibilities, is detail-oriented, and thrives in a fast-paced, team-focused environment. You’ll assist with everything from scheduling meetings to tracking financial documents like Performance and Maintenance Bonds, all while having the opportunity to contribute to digital marketing efforts.
Key Responsibilities
Administrative Support
- Schedule and organize activities such as meetings, travel, conferences, and company events.
- Answer and direct calls, handle routine and non-routine inquiries, and act as a liaison with external and internal contacts.
- Assist with company luncheons and meetings, including sending invitations, tracking RSVPs, and setting up/cleaning up.
- Handle incoming and outgoing mail, FedEx packages, and office supplies.
- Financial Document Coordination
- Obtain and track Performance and Maintenance Bonds, letters of credit, and cash escrows for various projects.
- Maintain bond reports, reconcile data quarterly, and communicate regularly with managers, county offices, and surety companies.
- Assist project managers with inquiries to subcontractors and government offices to expedite processes.
Digital Marketing Assistance
- Support the marketing team by assisting with content updates for social media and website platforms.
- Help create presentations, reports, and marketing materials using Microsoft PowerPoint and Adobe Creative Cloud.
- Research and gather relevant industry information to support marketing initiatives.
- General Office & Special Projects
- Assist with special projects that support Elm Street Development’s business and community initiatives.
- Establish and maintain positive relationships with residents, builders, vendors, subcontractors, and local government personnel.
- Obtain a Notarial Commission and provide notary services for company personnel (if not already a notary, the company will assist with obtaining certification).
Qualifications & Skills
Required:
- High School Diploma or equivalent.
- 3 years of administrative experience in an office environment.
- Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, and Word).
- Excellent communication, organization, and time management skills.
- Ability to multitask and prioritize work effectively.
- Friendly, professional demeanor with a team-oriented mindset.
Preferred but not required:
- Experience with Adobe InDesign and Photoshop.
- Knowledge of financial document tracking, particularly bonds and escrows.
- Familiarity with digital marketing tools and platforms.
Work Hours:
We’re looking for someone to join our team for 20 hours per week. We will be somewhat flexible on the schedule based upon balancing the Teams needs and the successful candidate’s desired schedule.
