Position Overview
We are seeking a detail-oriented Project Administrator to join our growing team in Nassau Bay, Texas. As a Project Administrator, you will serve as the administrative backbone for our project management team, providing critical support throughout the project lifecycle. This role works as the right hand to Project Managers, taking ownership of documentation, general conditions management, and administrative tasks that keep projects running smoothly. The ideal candidate will maintain a professional demeanor, demonstrate resilience in a fast-paced environment, and contribute to our solution-focused company culture.
Key Responsibilities
Project Management Support
- Serve as the right hand to Project Managers, providing comprehensive administrative support
- Create and maintain comprehensive project documentation in our project management software
- Process bid invitations, manage the Bid Calendar, and coordinate with the Estimating team
- Anticipate Project Manager needs and proactively address administrative requirements
- Develop and maintain strong relationships with clients, subcontractors, and vendors
- Manage communication with project stakeholders as directed by Project Managers
- Schedule and organize project meetings, prepare agendas, take detailed notes, and track action items
- Handle correspondence, calls, and emails professionally when PMs are unavailable
Subcontractor & General Conditions Management
- Process subcontracts following company templates and procedures
- Obtain required documentation from subcontractors (insurance, licenses, W-9s)
- Take ownership of scheduling and managing general condition items (portable toilets, fencing, dumpsters, temporary facilities)
- Work with municipalities to secure permits and schedule inspections as needed
- Coordinate with landlords and mall managers on project requirements
Project Administration & Closeout
- Support RFI and submittal workflows according to established procedures
- Coordinate with Accounting for proper project setup, billing, and payment processes
- Lead the project closeout process, collecting all required documentation
- Prepare digital closeout packages and follow up on outstanding items
- Support team culture through coordinating team activities and events
Qualifications
- 2 years of administrative experience, preferably in construction or a related field
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational and time management skills
- Excellent written and verbal communication abilities
- Detail-oriented with exceptional accuracy and follow-through
- Ability to prioritize effectively in a fast-paced environment
- Resilient personality with the ability to handle direct feedback and occasional high-pressure situations
- Professional attitude focused on solutions rather than workplace politics
- Knowledge of construction terminology preferred but not required
- Experience with construction management software a plus
