Job Overview
We are seeking a detail-oriented and organized part-time Administrative Assistant to support our ELW behavioral health & Peer support organization.
Responsibilities include managing client charts, answering phones, assisting with patient intake, and handling some billing tasks. The role involves checking Insurance eligibility, tracking some claims, and ensuring accurate records. Strong communication and multitasking skills are essential. Willing to train but some admin experience is preferred.
The position is part-time Monday – Friday 9am – 4pm with a :30-minute lunch break.
Responsibilities
- Manage Inbound phone class, confirm class, and ensure timely follow-ups.
- Organize patients charts, verify insurance information 2X month and assist with intake forms.
- Answer phone calls and respond to emails promptly.
- Track payments and follow up on outstanding Items
- Work with insurance companies to verify coverage and resolve billing discrepancies.
- Maintain accurate and up-to-date patient records, ensuring confidentiality.
- Input and update billing information into the clinic's software system.
- Provide administrative support to the clinic’s management and healthcare providers as assigned.
- Ensure compliance with HIPAA regulations and clinic policies.
- Always maintain patient confidentiality.
Qualifications
- High school diploma or equivalent required; associate degree in healthcare administration or related field preferred.
- Previous experience in an administrative or office setting, preferably in a healthcare or behavioral health environment.
- Experience with medical billing, insurance verification, and claims processing is highly preferred.
- Strong organizational and time-management skills with the ability to prioritize tasks.
- Proficient in using office software (Microsoft Office, Google Suite)
- Excellent written and verbal communication skills.
- Basic knowledge of HIPAA regulations and confidentiality protocols.
- Strong problem-solving skills and ability to handle billing disputes or issues.
- Ability to work independently as well as part of a team in an office setting.
- Empathy and professionalism when interacting with patients and healthcare providers.
- Ability to maintain confidentiality and adhere to ethical standards in a healthcare setting.
- Flexibility to work part-time hours and handle varied administrative tasks.
