Job Title: Director of Operations
Principal Duties and Responsibilities
- Organize, observe, and oversee the implementation of daily operations of the entire business, including Service, Retrofit, Automation, Sales, and Warehouse.
- Observations and recommendations to be taken to the Management team to initiate a platform for collective discussion, obtaining collective ideas for areas of improvement and ways to implement said areas.
- Upon agreement and buy-in from the Management Team, the Director of Operations will take the lead in driving such changes and modifications with the help of the Department Managers in enforcing such changes and modifications
- Ensure business is well coordinated and productive by managing its procedures and assisting department managers in coaching people.
- Recruiting and talent acquisition for all areas of the business. Collaborate with department managers and proactively identify future hiring needs.
- Evaluate process and procedures in all areas of the business and the overall efficiency of business according to organizational objectives and deliver improvement recommendations to management team
- Work with Department managers to implement processes and procedures to ensure timeliness, efficiency of product and deliverables, profitability and overall customer satisfaction.
- Cultivate positivity and a culture of teamwork.
- Conduit of communication and Liaison between department managers and key department personnel to make decisions for operational activities and set strategic goals.
- Oversee, plan and monitor the day-to-day running of business operations to ensure smooth progress, but avoid getting into the weeds on any issue. Focus on working on the business and not in the business.
- Work with Department Managers to create a one- and three-year business plan. Small plans for each department, and one full business plan for the branch that detail the department’s current position and plans for future growth.
- Observe staff from all departments and provide constructive feedback to departments managers
- Responsible for emphasizing, driving and implementing a culture that is centered on the Customer Experience.
- Drive ideas and initiatives for growth, profitability and customer retention.
- Manage relationships/agreements with external partners/vendors.
- Manage procurement processes and coordinate material and resource allocation.
- Oversee Warehouse Management personnel and assist in implementing processes and procedures to ensure efficient, LEAN warehouse inventory practices, tool and inventory tracking and other efficient measures.
- Evaluate overall performance by gathering, analyzing and interpreting data and metrics. Utilize Microsoft office suites, including CRM to track data.
- Build Branch QA/QC program with Standard Operating Procedures for each department. Manage quality process.
- Builds and maintains relationships with customers through client meetings, site visits, phone calls, and other channels.
- Oversee Service Manager and Service Operations Manager
- Ensure associate growth and development through mentoring and training.
- Approve PM Service Contracts – Mentor Service Manager and Service Operations Manager
- Approve PM renewals – Mentor Service Manager and Service Operations Manager
- Meets with Service Operations Manager to discuss Open Work Order Report Inefficiencies
- Meets with Service Operations Manager to discuss Open PM Report Inefficiencies
- Monitors Service department KPI’s include billable hours, gross margin, revenue, contract performance and P-card truck stock expenditures.
Job Specifications (incl. Education requirements, minimal experience, computer skills required, etc.)
- Bachelor’s degree in business administration or organizational leadership
- Master’s degree in business administration or management and leadership preferred.
- 15 years’ experience in HVAC commercial service or related field.
- 8 years P&L responsibility
- Must have a keen attention to detail and the flexibility to work with different aspects of a business.
- Experience supervising, coaching and developing staff.
- Financial acumen, inclusive of cost modeling for sales proposals.
- A good working knowledge of many sides of the business including Service, Sales and Retrofit
