ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Keying information from invoices to Accounting Edge (Internal Software).
- Scan copies of invoices to a PDF.
- Must be detail oriented and self-motivated along with performing effectively and confidently, without much supervision.
- Must be able to meet deadlines.
- Performs all other duties as assigned by management.
- Scan copies of invoices with issues and route to appropriate party, follow-up.
- Daily relief to the receptionist for breaks and lunch for phone coverage.
- All day relief to the receptionist when she/he is on vacation/sick.
- Greet all visitors so they feel welcome and notify business leaders guest has arrived.
- Ensures visitors sign in.
- Answer phones, screen calls, transfer, conference, and take messages.
- Handle and distribute all office mail and packages, both incoming and outgoing.
- Fax, scan and copy documents.
MINIMUM QUALIFICATIONS
- Must be extremely organized to manage the high volume of invoices.
- Knowledge/experience within a mechanical contracting firm a plus.
- Excellent proficiency in Word, Excel, and other Microsoft Office software applications.
- Strong communication and interpersonal skills, and able to interact with all levels of the organization with a positive, engaging, proactive and team-based style.
- Excellent written and verbal communication skills, team player attitude and professional appearance are a must.
- Strong work ethic.
- Occasional overtime is required.
