Overview
The Recreation Coordinator plays a vital role in planning, organizing, and executing recreational programs and events that enhance community engagement and promote healthy lifestyles. This position requires a dynamic individual who is passionate about recreation and has strong organizational skills to manage various activities effectively. The ideal candidate will possess excellent communication abilities to foster relationships with community members, vendors, and stakeholders.

Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform the following satisfactorily; other duties may be assigned. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Books all community member parties for the beach, park, community center, and private residences, and assists members in organizing their events to ensure they meet Emerald Bay requirements.
  • Brainstorming and implementing event concepts and themes for Community Events.
  • Makes arrangements for caterers, entertainment, and specific equipment as required for community events/activities.
  • Attends and executes all Community Events from beginning to end. Attendance on Holidays (St. Patrick’s Day, Easter Saturday, Memorial Day) are mandatory. Position requires flexibility to work nights and weekends, as required by events.
  • Responsible for events that include alcohol, as required, including the purchase of inventory, supplies, equipment, and verification of vendor insurance.
  • Source and manage all community activities and events by planning, organizing, promoting, and implementing recreation and education programs approved by the General Manager and the Board of Directors.
  • Manage master calendar for all events, including reservations for recreation facilities.
  • Ensure the preparation of promotional materials such as flyers, posters, banners, E-blast and newsletter articles to promote events and programs.
  • Prepares and manages event budgets and submits invoices for payment.
  • Coordinates tennis court reservations, tennis events, picnic table reservations, summer camp and swim team sign-ups, and beach and paddleboard locker rentals.
  • Performs a variety of office tasks including providing quality customer service to all EB members, guests and tenants, making appointments, completing reports, etc.
  • Provides courteous, high-quality service to members by personally responding to requests for service or making appropriate referrals.
  • Provides the Director of Office & Member Services with administrative support, when needed.
  • Supports the Front Office staff during absences, extremely busy times/days, and rotates Saturday schedule.
  • Source and manage classes/camps and prepare reports for Director of Office & Member Services approval of class. Schedule, promote, prepare and maintain contracts, insurance and payment of classes/camps.
  • Liaise with and support Summer Camp, Swim Team and Tennis contractors as needed to ensure standard of service provided to residents.
  • Maintain inventory of Recreation equipment. Inspect and maintain activity storage areas. Responsible for purchasing Recreation equipment and supplies for the facility and pool areas per established protocol.

Education/Experience:

  • Bachelor's degree from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

Language Ability:

  • Read and comprehend simple instructions, short correspondence, and memos. Write simple correspondence. Effectively present information in one-on-one and small group situations to customers, clients, and other employees.

Mathematical Ability:

  • Add and subtract two-digit numbers and multiply/divide with 10's and 100's. Perform these operations using units of American money and weight measurement, volume, and distance.

Reasoning Ability:

  • Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills: Proficient in Microsoft Office Suite (Word, Excel, Access, Powerpoint, and Outlook).

General Experience/Skills:

  • Proven experience in event planning or recreation management is preferred.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Excellent time management skills to meet deadlines effectively.
  • Proficiency in budgeting and financial management related to event planning.
  • Ability to communicate clearly and effectively with diverse audiences.
  • Experience in marketing recreational programs or events is a plus.
  • Familiarity with banquet management or similar event coordination is desirable.

Supervisory Responsibilities: There are no supervisory responsibilities for this position.
