What are the responsibilities and job description for the Executive Assistant / Program Coordinator position at Emergence Films?
Emergence Films is on the hunt for a highly organized and creative Executive Assistant/Program Coordinator.
This contract/hourly position starts at 5-10 hours per week, with room to grow into a larger role over time. It’s primarily remote and flexible, but we’ll need you to be available for the occasional in-person events, film shoots, and meetings. Ideal candidate must be located within commutable distance to Bainbridge Island, WA.
This position offers a front-row seat to the entire filmmaking process—from development to production—and a chance to build meaningful connections with the first cohort of women in our Emerging Filmmaker Program. We’re a small and dedicated team who love what we do, and we’re looking for someone equally passionate to join and grow with us.
Rate of Pay: $25/hr
- Project Management – Keep us on track using Google Suite, Taskworld, Slack, Asana, or similar tools
- Social Media & Community Engagement – Engage with our social media presence alongside our current social media manager, create and manage our Discord community
- Content Creation – Capture and edit BTS and event photos and footage (phone or similar) for social media and YouTube
- Program Coordination – Be a reliable, communicative, and friendly first point of contact for the Emerging Filmmakers Program participants and collaborators
- Data & Presentation Design – Gather data and feedback, and transform it into visually engaging documents and decks
- Scheduling & Organization – Coordinate meetings, send out Zoom invites, and coordinate schedules across teams
- Email & Task Follow-ups – Stay on top of responses, follow-ups, and action items
- A detail-oriented self-starter who thrives in a remote work environment
- A clear and thoughtful communicator, both in writing and in person
- Dedicated to task completion in a very timely manner
- Able to prioritize tasks and set expectations clearly
- Comfortable building relationships and engaging with online communities
- Experienced in project management and organization
- Able to wear multiple hats and pivot when needed (startups and indie filmmaking require flexibility)
- Excited to contribute to a female-driven creative space
