Administrative Assistant

The preferred candidate will have a proven track record and be detail-oriented.
Responsibilities
- Organize and schedule meetings and appointments onsite and offsite
- Make travel and hotel accommodation arrangements for Managers and Executives
- Manage both computer and manual filing systems and review and update documents as necessary
- Greet and provide general support to office visitors
- Manage relationships with vendors, service providers, and landlord
- Manage hotel corporate contracts and invoices/receipts
- Produce and distribute correspondence emails, memos, letters, faxes, reports, and presentations
- Screen and direct phone calls and distribute correspondence – including faxes, mail, and voicemails
- Assist in organizing and implementing company events / gifts including Administration team incentives, clinician Kudos, clinician candy drop, PA Week, NP Week, and Doctor’s Day
- Assist in organizing and implementing the company’s annual Medical Expo
- Organize and maintain office supplies and inventory/maintain stock of conference room snacks and corporate swag
- Assist APC Schedulers in finding shift coverage and as needed Sick Call coverage
- Run off-site errands
- Manage priority tasks given by Managers and Executives to meet tight deadlines
Qualifications
· High School Diploma; Associate’s or Bachelor’s Degree preferred
· Excellent time management skills and ability to multi-task and prioritize work
· Ability to solve practical problems and deal with potentially sensitive information with care
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
· Excellent verbal and written communication skills
· Excellent organizational and planning skills with attention to detail
Job Type: Full-time
Pay: From $31.25 per hour
