Description :
We are looking for a highly detailed and organized Parts and Service Coordinator. This position will perform parts sales and service-related functions to support our customers and parts, service and sales staff.
The Parts and Service Coordinator position will provide customer service, process, phone and email orders, assist internal technicians with parts requests, assist in managing parts inventory, assist in accounts payable and accounts receivable as well as other related tasks as assigned.
Our ideal candidate has an extremely high mechanical aptitude, strong organizational skills and can manage multiple projects at a time. Prior experience in related fields is a plus. This is a full-time position with room for advancement.

Requirements :
Provide customer service and answer incoming phone calls and emails.
Process parts orders (invoicing and returns)
Receive incoming shipments and assign items received to the correct order or department.
Responsible for Shipping outgoing orders and facilitating shipment requests.
Minimize parts returns by thoroughly checking and confirming parts requests before processing orders.
Identify and obtain pricing for parts using part numbers, catalogs, calling vendors, etc. For customer’s, service and sales orders.
Pull parts from inventory that need to be shipped or given to a technician. As well as label Service parts on the special-order shelf to be found with ease.
Put away parts in appropriate bin / location. Label all new parts for inventory to stock and maintain bin locations.
Inventory and cycle count parts as requested.
Use the company vehicle to pick up parts from vendors and deliver parts to customers as needed.
Create purchase orders and assign parts to service orders ensuring parts are billed to the correct customer and the correct cost and sale price are entered.
Manage vendor invoices (packing slips and invoices). Request invoices from vendors and receive invoices ensuring invoices are not submitted for payment late or delaying the billing process of customer orders.
Maintain min / max inventory levels on assigned stocking vendor accounts.
Assist with contacting customers on past due invoices including mailing statements and invoices to customers.
Assist with service writing of approved service orders.
Assist with vehicle check in and delivery process (Customer drop off and New Vehicles)
Requirements
Must have excellent written, verbal communication and interpersonal skills.
Valid CA driver’s license and clean driving record
Ability to lift 50 lbs.
Technical writing principles
Comfortable dealing with numbers and the processing of financial information
Knowledge of office management systems and procedures
Working knowledge of office equipment, such as printers, scanners, etc.
Proficiency in MS Office (Word, Excel, etc.)
Excellent time management skills and the ability to prioritize work.
Attention to detail and problem-solving skills.
Discretion and confidentiality
Outstanding organizational skills with the ability multi-task.
Prior experience with fire apparatus, ambulances or specialty vehicles is a plus.
Work independently on multiple projects with tight timelines.
